General Description

Advanced clerical and specialized accounting work in compiling, maintaining, and verifying diverse statistical, fiscal, and bookkeeping records and accounts related to controls and procedures that may include construction, projects, contracts, billing, assessments, accounts receivable, and budgeting.

Essential Job Functions
  • Prepares and maintains ledger files, receipt books, statistical reports, and assessment rolls.
  • Examines and verifies billing records, pay requests, and various daily and monthly financial reports for accuracy and completeness.
  • Assists in the development of budgets for various divisions within the County.
  • Maintains inventory of equipment, property, and various other accounting records for contractor and County supplied materials and equipment.
  • Prepares necessary forms and reports in a timely manner.
  • Examines and makes corrections to necessary reports.
  • Verifies invoices, pay requests, and receipts; and where cost accounting is involved, allocates changes to individual accounts of projects.
  • Enters and retrieves information from a CRT or personal computer.
  • Operates all standard office equipment including personal computer, CRT, typewriter, and copier.
  • Correlates pay requests, invoices, purchase orders, and vouchers for payment.
  • Assists in preparation of change orders and administration of contracts.
  • Trains and supervises other clerical personnel when required.
  • Maintains work order files and issues work order numbers.
  • Types and performs other clerical and secretarial work.
  • Effectively deals with the public in person and over the telephone.
  • Performs related work as required.
Knowledge,

Skills And Abilities
  • Knowledge of bookkeeping principles and procedures and ability to apply such knowledge to project accounting transactions.
  • Knowledge of office procedures and methods.
  • Knowledge of the laws, rules, and regulations relative to financial records within the unit assigned.
  • Ability to perform daily work involving written or numerical data.
  • Ability to make arithmetical calculations rapidly and accurately.
  • Ability to establish and maintain effective working relationships with the public and County staff.
  • Ability to operate a personal computer, CRT, and other office equipment.
Minimum Requirements

PHYSICAL

SKILLS:

Ability to communicate effectively using speaking, hearing, writing, and vision skills.

Education, Training, And Experience
  • Graduation from high school or possession of an acceptable equivalency diploma.
  • Four years of experience in bookkeeping, and/or maintenance of fiscal records, including the operation of a personal computer or CRT.
  • Familiar with Microsoft Office or similar software.
  • Typing speed 45 c.w.p.m.

A comparable amount of directly related experience may be substituted for the minimum educational requirements.

Licenses, Certifications, And Registrations

Some positions may require a valid driver’s license.
