Pay Range: $19.00 -$20.50/hr

The base hourly range for this position is $19.00 - $20.50 for employees hired in the Central Valley, CA. The pay range provided in this job posting represents the typical range or starting rate of candidates hired within the Central Valley region. Candidates hired in Southern California or Bay Area locations may have higher starting salaries due to cost of living and market data differences.

Our Modesto office is seeking an Administrative Assistant II to provide essential administrative and operational support to our Core Program. This role is critical in ensuring smooth front office operations, maintaining program records and databases, supporting fiscal processes, and upholding compliance standards.

From supporting client records and financial reconciliations to coordinating office operations and assisting with HR processes, your work helps frontline staff focus on delivering critical services to youth and families.

Key Responsibilities
  • Provide front office reception and manage a multi-line phone system
  • Maintain program databases and generate accurate, timely reports
  • Manage petty cash accounts, fiscal fund requests, and reconciliations
  • Code and submit reimbursements and vendor invoices
  • Maintain donation records and financial documentation
  • Support onboarding, offboarding, and ongoing HR administrative processes
  • Prepare meeting materials, correspondence, and safety meeting documentation
  • Conduct file management, audits, archiving, scanning, and data entry
  • Manage incoming/outgoing mail, office supply inventory, and meeting room scheduling
  • Provide local technical support related to agency equipment
  • Maintain confidentiality in accordance with HIPAA and regulatory requirements
  • Model Aspiranet’s Professional Code of Ethics and agency values
Qualifications Education & Work Experience
  • Minimum of two (2) years of experience in clerical or business office operations
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Experience working in a Windows-based environment
  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
Licenses & Certifications
  • Meets all state-required conditions of employment (DOJ Fingerprint Clearance, Child Abuse Index Clearance, TB/Health Physical)
  • Valid California Driver’s License and clean driving record if driving is required
Work Environment & Schedule

This position typically operates in a standard office environment. The noise level is generally quiet and remains within OSHA’s established safety levels at all times.
