Position is categorized as funded; ongoing employment depends on funding.

Position SummaryUnder direction, plans, coordinates and performs advanced and complex administrative and coordination work supporting specialized student services programs such as CalWORKS, TRIO, ACT, Upward Bound, EOPS, and disabled student services. Duties include publicity, program materials, data management, and overall program support.
DISTINGUISHING CHARACTERISTICSSecond and advanced technical level in Program Support Series. Incumbent may lead or serve as sole support staff for highly complex program.
SUPERVISIONWorks under a Dean or senior manager; provides occasional supervision; may lead and monitor subordinate staff.
MINIMUM QUALIFICATIONS- Knowledge of advanced technical administrative practices; supervision and leadership principles; advanced instruction and tutoring practices; public relations and marketing; specialized student program operations; relevant laws, regulations, and requirements; publishing for marketing; instructional goals;
English usage; computerized data management. - Abilities to plan, coordinate, interpret, communicate, and maintain relationships; perform technical duties; use proper English; conduct calculations; read, write and speak effectively.
Any combination of education, experience, and/or training that provides required knowledge, skills, and abilities.
- Pattern I: Three years equivalent to a Program Technician at YCCD.
- Pattern II: Associate’s degree in counseling, communications, sociology, marketing, business administration, or related field, plus five years of program administrative duties with at least three years of technical experience for specialized services.
Special requirements may apply to specific program areas.
ESSENTIAL DUTIES- Plan and coordinate advanced technical and administrative duties for specialized District programs.
- Perform complex customer relations work; educate and market program services; conduct needs assessments; secure faculty and develop curriculum; monitor progress and evaluate outcomes.
- Serve as lead worker; monitor and schedule support staff and student workers.
- Plan and coordinate special program events, field trips, tutoring, and enrichment activities.
- Act as technical resource; liaison with outside agencies.
- Oversee day‑to‑day operations of program office or site.
- Provide comprehensive case management services; match students with services; refer to other providers.
- Coordinate outreach programs; manage office space usage; maintain master calendars; prepare newsletters.
- Monitor and evaluate program activities; recommend improvements.
- Conduct complex research and data analysis; prepare reports to management.
- Enter, maintain, and analyze database records; prepare queries and summary reports.
- Explain program policies to staff and public.
- Process program applications; determine eligibility; perform follow‑up actions.
- Assist participants with transcripts, test scores, and transfer/career planning; support enrollment and aid applications.
- Plan schedules, develop timelines.
- Manage program budgets; initiate appropriations; monitor expenditures; provide financial reports.
- Maintain supplies and equipment inventories; process purchase requests and invoices.
- Establish and maintain file and record systems.
- Respond to inquiries; prepare documents and presentations; update web pages if needed.
- Perform other related duties as assigned.
- Valid California driver’s license required.
- Mobility – sit long periods, stand occasionally.
- Dexterity – operate keyboard, handle papers.
- Lifting – up to 10 pounds.
- Visual – close vision to read and work on screens.
- Hearing/Talking – normal speech, telephone, in person.
- Emotional – decision making, concentration, public contact, deadlines.
