The RoleWe are looking for a talented Fleet Manager, Compliance to join our team. In this role, you will provide strategic leadership and regulatory oversight to ensure the fleet remains in strict alignment with DOT and FMCSA regulations, as well as internal frameworks. The primary purpose of this role is to manage the end‑to‑end lifecycle of fleet assets while maintaining audit‑ready documentation and CSA scores.
You will oversee regulatory filings, tax requirements, and safety data, working closely with the Area Fleet Director
, Area Safety Director
, and Business Unit Managers to minimize equipment downtime and ensure financial integrity through rigorous asset tracking and fuel program management.
- Leadership & Regulatory Oversight:
Oversee and mentor Fleet Compliance Staff, ensuring high performance in driver compliance file management and regulatory filings. - Regulatory Filings & Tax Compliance:
Manage the end‑to‑end process for vehicle registrations, including both baseplate and IRP (International Registration Plan). Ensure accurate IFTA reporting as well as all local regulatory taxes. - Log Compliance & Permitting:
Monitor Geotab/ELD data to maintain strict driver log compliance. Secure and renew all necessary oversize, overweight, and jurisdictional permits required for fleet operations. - Master Fleet Records:
Maintain the “source of truth” for the fleet, ensuring all digital files (inspections, licensing, images, and permits) are current and audit‑ready. - Lifecycle Tracking:
Initiate and track the movement of assets—including additions, deletions, and transfers—through Fixed Assets and all integrated ancillary systems. - Carrier Status:
Manage and maintain Operating Authorities in multiple jurisdictions including monthly in‑depth review of carrier profiles to ensure compliance. - Financial Administration:
Handle Capital Reclasses and manage the Fuel Card program, including issuance, monitoring, and limit adjustments. - Reporting & Operational Support:
Deliver comprehensive month‑end reports and execute ad‑hoc data requests to provide insights into fleet health, compliance status, and maintenance financials. Track coaching events and driver violations, providing weekly reports to BU managers. - System Integrity:
Assist in ensuring all ancillary fleet systems reflect real‑time data to support operational planning. - Lawful compliance to all applicable DOT regulatory requirements.
- Maintain CSA Scores at or below company thresholds.
- Experience:
5+ years of experience in fleet compliance or fleet management. - Education:
Relevant degree, licensing, or certifications corresponding with senior fleet regulatory positions. - Technical
Skills:
Proficiency in DOT/FMCSA requirements, Geotab/ELD data monitoring, and M5 system updates. Extensive knowledge of IFTA reporting and IRP registration processes. Advanced understanding of asset lifecycle tracking and maintenance financials. Expertise in ELD compliance systems and applicable vehicle video software. Ability to execute complex data analysis and month‑end reporting. - Soft Skills &
Competencies:
Leadership skills to mentor and develop DOT Staff (allocating approximately 50% of time to people management). Analytical thinking to drive data‑driven insights. Strong collaboration skills to coordinate with operations and external jurisdictional partners. Exceptional attention to detail to maintain digital fleet records. - Physical Demands:
