The Administrative Assistant performs routine to moderately complex administrative, secretarial, and clerical work in support of the Police Department involving making requisitions for purchase orders; researching prices; maintaining invoices and matching with purchase orders; entering data into NCIC; retrieving data from NCIC; performing NCIC validation; posting and filing all requisitions and purchase orders.
ESSENTIAL JOB FUNCTIONS- Examines NCIC validation report, verifies all entries are valid and corrects invalid data.
- Research prices for the materials, supplies and equipment.
- Prepares and prints requisitions for purchase orders.
- Receives purchase orders from Administration.
- Orders, faxes, or submits purchase order to appropriate person or department.
- Posts all requisitions, purchase orders and invoices in ledger.
- Files all paperwork and keeps files updated.
- Receives orders and distributes orders to appropriate person or department.
- Keeps NCIC training files up-to-date and organized.
- Enters all training certificates into Officer’s file and training software program.
- Prepares letters and memorandums upon request.
- Attends training or meetings if required.
- Checks and distributes mail.
- Answers incoming telephone calls, greets the public and assists and provides referrals to other departments or staff as needed.
- Forwards files, reports, records, and documentation to other agencies as needed.
- Runs criminal history requests.
- Enter and retrieve data into and from State and Federal agency reporting and tracking files.
- Receives and/or reviews various records and reports such as purchase orders, NCIC validation and invoices.
- Prepares and/or processes various records and reports such as requisitions, purchase orders, letters, and memorandums.
- Refers to requisitions, purchase orders, invoices, NCIC validation, policy and procedure manuals, codes/laws/regulations, publications, and reference texts, etc.
- Operates a variety of equipment such as copy machine, fax machine, printers, computer, calculator, etc.
- Uses a variety of supplies such as toner, paper, ink cartridges, ribbons, general office supplies, etc. and a variety of computer software such as Incode, RMS, Microsoft Word, Microsoft Excel, Microsoft Outlook, etc.
- Interacts and communicates with various groups and individuals such as Police Command Staff, Office Staff, Officers, Administration, and the public.
- Prepares payroll log for Department.
- Sets up training for new officers for NCIC or CJIS.
- Oversees summer camp coordination.
- Checks voicemail messages.
- Takes messages for Officers.
- Prints reports for media book.
- Assists customers at Window.
- Makes copies of reports and all other requested documents.
- Performs records checks.
- Performs general administrative/office duties as required, including typing reports and correspondence, entering and retrieving computer data, copying and filing documents, sending and receiving faxes, answering the telephone, establishing and maintaining filing systems, etc.
- Performs other related duties as required.
- Processes evidence.
- Fingerprints suspects, victims, etc.
- Executes search warrants and completes search warrant returns.
- Prepares and logs crime scene evidence.
- Places evidence into evidence locker; assigns storage.
- Maintains current knowledge specific to assignments.
- Completes necessary audits of evidence room.
- Performs general administrative work, including but not limited to attending and conducting meetings.
- Performs other related duties as required.
Grade N-105, Minimum Salary $35,064.23
