The Quote Specialist is responsible for preparing accurate, timely, and competitive quotes for prospective and existing customers. This includes collaborating closely with Sales, Customer Service, Operations, and field service technicians across multiple locations to ensure all quotes are aligned with company pricing strategies. The role seeks a results-oriented, detail-oriented, communication-skilled professional experienced with ERP and CRM systems, capable of thriving in a fast-paced, deadline-driven environment.

This position will report to the Key Account Administration Manager.

• Generate accurate quotes based on Service Technician recommendations, including pricing and delivery timelines.
• Work closely with technicians to receive onsite approval for work needing to be done onsite.
• Call customers when necessary to retrieve onsite approvals and NTE increases for quotes.
• Review and analyze customer requirements to ensure all necessary factors (discounts, volume, customization) are included.
• Collaborate with Sales, Customer Service, Operations, and Engineering across multiple locations to align quotes with company policy and pricing strategies.
• Maintain and update quote records in CRM or relevant systems, tracking status and follow-up actions.
• Ensure quotes are efficient, competitive, and aligned with pricing guidelines.
• Analyze historical data and sales order history in ERP and CRM to determine if pricing decisions can be made independently or if management approval is required.
• Complete other duties as assigned.

• High School diploma or equivalent; associate’s degree or higher preferred.
• Ability to work and achieve KPIs in a fast-paced environment.
• Demonstrated ability to collaborate with a distributed team across multiple sites.
• Knowledge of researching information in an ERP system and quoting products via CRM or quoting software.
• Strong analytical, problem-solving, written, and verbal communication skills with attention to detail.
• Self-starter with strong prioritization and time-management skills.
• Proficiency in MS Office Suite (Excel, Word, PowerPoint, Teams, Outlook).
