DOC’s monthly salary range for this position is $3,630.00 to $4,833.00.
Job SummaryFull‑time, permanent Office Assistant (OA3) vacancy within the Community Corrections Division located at th Drive SE, Monroe, WA 98272. Under general supervision from the Administrative Assistant 4 (AA4), this position performs file management and routine, advanced clerical support tasks for the AA4, Community Corrections Supervisor (CCS), and the Community Corrections Officers (CCOs). Work hours are Monday‑Friday, 8:00 am to 5:00 pm.
Responsibilities- Assist staff with paperwork, reports, schedules, and other day‑to‑day clerical tasks.
- Greet and assist the public, visitors, and clients and refer to the appropriate staff.
- Manage a multi‑line phone system.
- Maintain and manage electronic and physical files.
- Enter and retrieve data from various systems such as the Offender Management Network Information (OMNI) system and OnBase.
- Prepare and send document search requests to various law enforcement agencies.
- Assist with scheduling.
- Independently compose, send, and respond to emails.
- Process incoming and outgoing mail.
Other duties as assigned.
Required Qualifications- High school diploma or GED equivalent.
- At least six months of clerical experience that includes basic knowledge of Microsoft Office programs including Word, Outlook, and Excel.
- Maintain regular and reliable attendance.
- Respect and maintain confidentiality.
- Assist individuals with various criminal backgrounds.
- Navigate internal databases and a variety of computer platforms/applications.
- Proofread written material and identify and correct errors, grammar, and punctuation.
- Communicate effectively and clearly to staff, supervised individuals, stakeholders, and the public.
- Two years of clerical experience and basic knowledge of Microsoft Office programs including Word, Outlook, and Excel.
- Fourteen to twenty‑five paid vacation days per year, depending on years of service and the collective bargaining agreement (CBA) if a represented position.
- Eight hours of paid sick leave per month.
- Twelve paid holidays per year, including one personal holiday.
- One personal leave day per year (in accordance with the CBA).
