Hours

6 hours per day, 9:30 a.m. – 4:00 p.m., 190 days per year

Position Summary

This position maintains and updates student records and provides secretarial support to the building administration. Responsibilities include keeping transcripts, cumulative and confidential records, managing course codes, scheduling state testing, and generating reports.

Responsibilities
  • Adhere to federal, state, and district laws, policies, and procedures.
  • Serve as a mandatory reporter for incidents of child abuse, harassment, bullying, fights, and substance abuse.
  • Maintain and reconcile student records for compliance reporting.
  • Register students for classes, enter information into the computer system, and generate class lists.
  • Generate reports and monthly enrollment figures for the district office.
  • Track grade point averages, class rank, and monitor student progress toward graduation requirements.
  • Assist graduating seniors with end‑of‑year tasks and college readiness.
  • Post student grades and credits and communicate deficiencies to appropriate parties.
  • Compile student lists for graduation events and honor roll publication.
  • Create correspondence and forms for school administrators as needed.
  • Maintain confidentiality of student information and keep regular, punctual attendance.
  • Perform related duties as assigned.
Qualifications

Education and Experience:

  • High School Diploma or equivalent (required).
  • ALE office experience preferred.
  • Experience with Skyward or another ALE SIS preferred.
  • Advanced spreadsheet skills in Excel preferred.

Knowledge, Skills and Abilities:

  • Knowledge of secretarial procedures and general bookkeeping.
  • Knowledge of correct grammar, spelling, and English usage.
  • Excellent written and oral communication skills.
  • Proficiency with Microsoft Office, Adobe, and general office machines.
  • Ability to work independently with minimal supervision and multi‑task.
  • Ability to make accurate arithmetic calculations and maintain accurate records and databases.
  • Ability to establish effective working relationships with staff, parents, and the public.
  • Ability to work under pressure and with constant disruptions.
  • Ability to handle students in a warm, confident manner.
  • Good judgment, organization, and prioritization skills.
  • Strict confidentiality regarding student and staff information.
  • Availability to work extra hours when required.
Licenses and

  • First Aid, CPR, and AED training.
