The Office Coordinator keeps our operations running smoothly –supporting both the people and the place that makes Montana Pediatrics work. This part-timerole balances administrative organization with hands-on office management, ensuring our team,partners, and families have a seamless experience when reaching out or visiting.

Our Kalispell offi ce is home to our administrative team—a small, mission-driven group working together to support pediatric care across Montana. The environment is professional yet family-and child-friendly, with a culture that values fl exibility, collaboration, and purpose-drivenwork.
- Frontline communication: Answer phones and manage the organization’s general“Contact Us” inbox, routing inquiries appropriately.
- Document Management: Receive, process, and organize incoming faxes and othershared correspondence.
- Database upkeep: Maintain accurate and current partner contact information across shared systems.
- Scheduling coordination: Support scheduling with external partners—jumping intoemail threads to help find times that align across multiple calendars and time zones.
- Travel coordination: Oversee daily office organization and upkeep, includingsupply ordering, managing the back room and storage spaces, and coordinatingcleaning/trash removal.
- Landlord communications: Serve as the main point of contact for building-related needs, including maintenance, access, and lease coordination.
- Administrative support: Provide general assistance to team members, including meeting preparation, document organization, and project logistics.
- (Optional additional hours – Expense management/bookkeeping): For candidates with bookkeeping or expense management experience, an additional 8 hours per week may beadded to oversee receipt tracking, reimbursements, and financial documentation.
- Exceptionally organized and detail-oriented
- Friendly, proactive, and resourceful in problem-solving
- Mental Health and/or social services experience a plus
- Skilled communicator – comfortable managing email, phone, and in-person interactionswith warmth and professionalism
- Able to juggle multiple priorities while maintaining accuracy and follow-through
- Experience in office administration, scheduling, travel coordination, or expensemanagement preferred
- Approximately 20 hours per week, with flexibility in scheduling and some remote work available
- Option to expand up to 28 hours per week with expense management responsibilities
- In-person presence required at our Kalispell office at least part of each week
- Pay range: $19–$28/hour
