Position Summary
The Assistant Community Manager provides administrative, operational, and project coordination support to the Community Manager for the Residential Portfolio at the Yellowstone Club. This role supports day-to-day community operations, vendor coordination, board and committee administration, financial tracking, and homeowner communications.
Job Duties
Administrative & Operational Support:
- Provide day-to-day administrative support to the Community Manager across multiple associations.
- Maintain organized records including contracts, permits, insurance certificates, and governing documents.
- Track tasks, deadlines, renewals, and follow-ups.
- Complete on-site property walks of all residential associations; (Each association must be reviewed daily during seasonal operation).
- Identify and record exterior building maintenance concerns in associations via the POA's property tracking software and help manage work associated with suggested projects.
- Respond to maintenance issues that may arise during the workday to assess and provide resolution.
- Assist in tracking various third-party inspections.
- Light maintenance work as needed (lightbulb changes, light snow shoveling, etc.).
- Assist with preparation of operating and capital budgets.
- Track invoices, assessments, and budget variances.
- Coordinate with accounting on AP/AR and reporting.
- Collect and organize vendor proposals.
- Track contracts, insurance, and compliance.
- Assist with scheduling and site coordination.
- Support Architectural Review Committee application intake and tracking.
- Assist with scheduling meetings and preparing agendas and packets.
- Take meeting notes and assist with minutes.
- Track Board action items.
- Respond to routine homeowner inquiries.
- Assist with drafting notices, emails, and updates.
- Work within HOA software portal to update records, important documents, and homeowner communications.
- Perform all duties and responsibilities in a timely and efficient manner in accordance with established Club policies, procedures, and standards of service to achieve the overall objectives of this position.

Work Schedule & Availability
Availability to work weekends and some holidays is required, as needed to support community operations, events, and time-sensitive matters during seasonal operation. You may be expected to respond to owners or vendors outside of traditional office hours.
Qualifications
- High School diploma, GED, or vocational training or job-related course work required.
- 1-3 years related experience preferred.
- Proficiency in Microsoft Office Suite.
- Strong organization and communication skills.
- Must be willing to obtain the M-100 and CMCA credential through the Community Association Institute within the first 90 days of hire. Please note that the CMCA requires a proctored exam.
While performing the duties of this job, the employee is required to frequently inspect associations within the residential portfolio and may be exposed to ongoing construction and various weather conditions. The noise level in the work environment may range from moderate to loud.
While performing the duties of this job, the employee may be required to walk and stand for extended periods; must be able to stand and exert well-paced mobility for up to 6 hours in length. The position requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, bending, and climbing. The employee is occasionally required to reach with hands and arms.
The employee must also occasionally lift and move up to 25 pounds.
