Overview
The primary purpose of this position is to attend to and greet visitors and answer telephone calls. It is limited to clerical duties only and located in the Reception/Administrative area. This position has no clinical involvement or duties of any kind.
Responsibilities- Provide general administrative and clerical support.
- Greet and welcome patients, clients, and other visitors with a friendly and positive demeanor.
- Answer telephone calls, take messages, or forward calls.
- Check visitors in and direct or escort them to specific destinations.
- Inform other employees of visitors’ arrivals and cancellations.
- Maintain visitor sign‑in log.
- Handle incoming and outgoing mail.
- Schedule appointments and maintain meeting room bookings.
- Maintain and tidy the reception area.
- Perform other duties as assigned.
- Agree not to disclose resident’s protected health information and promptly report suspected or known violations to the Administrator.
- Maintain the confidentiality of all resident care information including protected health information; report known or suspected incidents of unauthorized disclosure.
- Education:
Minimum high school diploma or GED. - Preferred:
Previous administrative or receptionist experience. - Language
Skills:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; write reports, business correspondence, and procedure manuals; effectively present information and respond to questions from managers and employees. - Mathematical
Skills:
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. - Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; interpret a variety of instructions furnished in written, oral, diagram, or schedule form. - Computer:
Basic knowledge of Microsoft Suite products, clerical functions, and multiline phone system. - Certificates, Licenses, Registrations:
None required beyond those above.
The employee must occasionally lift and/or move up to 25 pounds. Prolonged use of a desktop or laptop computer is required. The employee is regularly required to sit, stand, walk, talk, read or hear. Frequent use of all office‑related equipment including copier, scanner, fax, telephone, and calculator. No travel required.
