Location: Libby
Attendance Secretary
Libby Middle/High School
8 Hrs/Day Position
Hours May Fluctuate
Monday – Friday
7:30 a.m. – 4:00 p.m.
$17.00/hour
5 days per week

High School Diploma or Equivalent

Libby Middle High School Administrative Secretary
- Serves as a secretary to Libby Middle High School Administration and Athletic Director
- Serves as receptionist and gives information or direct visitor to proper office
- Schedules, orients and directs substitute teachers and substitutes classified personnel
- Coordinates the process of purchasing, to include: processing of requisition, receipt, verification, and distribution of materials
- Certified and Classified Payroll processing and record maintenance
- Serves as Notary for school and district
Typical Duties
- Communicates with the public, employing discretion and independent judgment, directing individual to the correct person and efficiently resolving their concerns
- Performs a wide variety of clerical and secretarial work, including typing, proofreading, filing, and checking and recording information
- Utilization of Electronic Student Information System with parent portals
- Independently composes a variety of materials such as letters, memoranda, bulletin, requisitions, claims, reports, awards, and statistical data from rough drafts or oral instructions
- Tracks and compiles financial data and budget information for administration
- Maintains and coordinates multiple calendars to include: school administrators, school facility events, site, master, and school events
- Responsible for the assigning and inventory of room cabinet keys
- Receives, sorts, and distributes mail and office correspondence
- Serve students in need of office assistance
- Efficiently handle telephone system and communication with vendor staff
- Supervise and train student office help and telephone procedures
- Other duties as assigned by administration
Desired Minimum Qualifications
- One year responsible office experience; high school diploma or equivalent supplemented by or including courses in typing and office practices; or any combination of training and/or experience that could likely provide the desired knowledge and abilities.
- Ability to work well with students of middle and high school aged
- Correct English usage, spelling, grammar, punctuation, and composition both oral and written
- Handle variety of telephone calls and personal contacts with tact, diplomacy, and discretion
- Track and compile financial data and budget information for administration
- Knowledge of numerical, alphabetical, and subject-matter filing systems
- Modern office methods, procedures, and equipment, including receptionist, central phone systems and techniques, and word processing
- Ability to maintain confidentiality of employment and student matters
- Ability to effectively manage time and responsibilities
- Ability to handle stressful situations
