POSITION SUMMARY

Under the direction of the Vice President of HR, the Seasonal HR Coordinator is responsible for the coordination and administration of seasonal camp new hires and re-hires with a focus on supporting the Human Resources department in processing campsite hires during a high‑volume period of hiring.

ESSENTIAL

FUNCTIONS
  • Conduct new hire orientation on a weekly basis
  • Process the Pre‑Employment process on all required applicants, including references and background checks (BGC).
  • Serve as a visible point of contact/resource for camp new hires
  • Assist Camp Directors in the pre‑employment paperwork process for camp hires
  • Ensure the timely and accurate completion of new hire paperwork including but not limited to minor working papers, I‑9 completed forms and documentation, etc.
  • Ensure employee records are in compliance with federal and state regulations as per the respective guidelines
  • Track hires, rehires, and transfers of camp staff in the Master Camp Spreadsheet
  • Communicate to Camp Directors weekly on the status of camp documents and roster of camp staff
  • Receive completed application documents from Directors, review them for accuracy, and completion of all needed signatures
  • Create files of new hires and submit reviewed documents to HR Manager for entry in the payroll database
  • Start and follow up on the reference/BGC online process
  • Start and follow up required online training of camp employees
  • Occasional travel to camp sites
  • Attend required Abuse Risk Management training and adhere to procedures related to managing high‑risk activities and supervising members and participants.
  • Follow employee and volunteer screening requirements and use screening instruments to screen for abuse risk. Provide employees and volunteers with on‑going supervision and training related to abuse risk.
  • Provide employees and volunteers with regular feedback regarding their boundaries with consumers and require them to adhere to policies and procedures related to abuse risk.
  • Respond quickly to policy and procedure violations using Y’s disciplinary procedures and respond seriously and confidentially to reports of suspicious and inappropriate behaviors and follow mandated reporting requirements.
  • Communicate to all employees and volunteers the Y’s commitment to protect our members from abuse.

QUALIFICATIONS
  • Minimum 1 year of HR experience or equivalent business experience
  • Strong verbal, written and organizational skills
  • Strong customer service skills
  • Detailed oriented and the ability to perform in a fast‑paced environment while being patient and thorough with processes in place
  • Ability to work autonomously as well as with a team
  • Ability to work with staff at all levels of the YMCA organization
  • Ability to receive direction from multiple sources and prioritize accordingly

    Intermediate/Advanced MS Office applications (e.g., Word/Excel/PPT/Outlook)
  • Ability to lift up to 20lbs
  • Reliable transportation
  • Onsite 5 days/weeks (non‑negotiable)
  • Must have a CPR/AED and First Aid Certification OR get certified within 90 days of employment
