Reporting to the Strategic Projects Manager with day-to-day guidance of the Director of New Students Program, Director of Project Rebound, and Director of the Otter Cross Cultural Center, the Special Programs Coordinator will provide a full range of clerical and administrative support to New Student Programs, Project Rebound, and affinity centers. Assignments vary from general office duties, ordering supplies, tracking and reconciling financial data, and provide planning and event support.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Budget: Makes purchases for departments using a university procard. Creates purchase orders and submits invoices for payment. Tracks department expenses using department shadow budgets. Reconciles expenditures against finance data warehouse. Completes monthly procard reconciliations for own card and director’s cards.
- Administrative Support: Provides administrative support. Develops and maintains positive working relationships with students, employees, vendors, agents, and the general public. Creates and processes university documents pertaining to travel, budget, and personnel. Books travel arrangements and prepares travel documents. Composes correspondence, reports, and other documents as requested. Maintains inventory of office supplies and marketing materials. Organizes supplies for storage and distribution. Provides front desk support by greeting and directing visitors to appropriate resources.
- Student Programming and Event Support: Places catering orders, submits work requests, and collaborates with other university departments to plan and organize events. Provides day‑of support for program events including but not limited to running check‑in, maintaining attendee lists, serving as a point of contact for vendors/guest speakers, and ensuring catering orders and facilities requests are fulfilled. Processes all appropriate paperwork to hire guest performers and vendors for events.
Processes all event invoices for payment.
- Perform other job-related duties and special projects as assigned.
SKILLS AND ABILITIES
Thorough knowledge of: applicable university infrastructure, policies, and procedures;
English grammar, spelling, and punctuation; office systems and budget policies and procedures.
Skills: Experience to be fully functional in all technical aspects of work assignments. Working knowledge of budget policies and procedures.
Ability to: use a broad range of technology, systems and packages; independently handle multiple work unit priorities and projects; apply independently a wide variety of policies and procedures where specific guidelines may not exist; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; draft and compose correspondence and standard reports; handle effectively a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature.
MINIMUMQUALIFICATIONS
Must possess a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures.…
