CSUMB provides pay scales as an estimate; final pay will depend on scope, qualifications, budget, equity and system‑wide pay.

Purpose

Under the general direction of the Director of Student Engagement and Leadership Development, the incumbent coordinates administrative operations for the SELD department, performing complex administrative and operational support functions to enhance SELD students and staff effectiveness, managing projects, workflows, and event processes from initiation through implementation.

Responsibilities
  • Special Event and Activity Support: Coordinates meetings and events for SELD, Associated Students (AS), Inter‑Club Council (ICC), and United Sorority and Fraternity Council (USFC); liaises with University Affairs, Ceremonies and Events; reviews documents, ensures compliance, tracks workflow, and coordinates catering and logistics; provides guidance and training to student leaders.
  • Operations Support: Submits work orders and catering, orders supplies, monitors inventory, coordinates office workflows, identifies process improvements, and provides guidance to student assistants; develops and maintains SOPs.
  • General Office Support: First point of contact for campus and community members; provides information on events, programs and resources; assists with POI forms, DUB certification, office procedures; composes correspondence, reports and data entry; screens visitors and phone calls; supports service learners.
  • Information Tracking and Reporting: Tracks, monitors and prepares reports on events, office operations and student organization activities; compiles reports and recommends workflow improvements; maintains records, databases and budget tracking.
  • Travel Coordination and Reconciliation: Coordinates travel arrangements, processes authorizations and reimbursements, reconciles expenses and ensures compliance with travel policies.
Other Functions
  • Actively participates in department meetings, training programs, collaborations, retreats and planning sessions.
  • Attends seminars and conferences for professional development.
  • Performs other job‑related duties and special projects as assigned.
Knowledge,

Skills and Abilities
  • Thorough knowledge of university infrastructure, policies and procedures;
    English grammar, spelling and punctuation; office systems and budget policies.
  • Experience with all technical aspects of work assignments and working knowledge of budget policies.
  • Ability to use technology, systems and packages; handle multiple priorities; apply policies; perform business math; draft correspondence and reports; manage interpersonal contacts.
Minimum Qualifications

Must have a fully functional knowledge of and skill in standard office procedures and practices; ability to understand and operate in various organizational structures; strong communication skills; knowledge of business mathematics. Prior experience may be obtained through education or several years of related office work. Ability to quickly learn new office support technology systems and software packages.
