Position: UNIT OFFICE MANAGER, MARINA EDUCATION CENTER

Job Summary

The Unit Office Manager for the MPC Marina Education Center supports day‑to‑day campus operations, coordinates instructional resources, and assists faculty, staff, students, and visitors. Responsibilities include managing classroom readiness, supervising student employees, coordinating events, maintaining records, and ensuring compliance with institutional policies.

Essential Functions
  • Oversee and arrange special functions at the Education Center, including student registration, financial aid, and support services.
  • Provide routine office, technical, and administrative support for faculty and staff (e.g., document production, workflow coordination, file management).
  • Support instructors with audiovisual equipment and instructional inventory; prepare instructor packets.
  • Ensure safety and security measures are adhered to; coordinate with security personnel.
  • Serve as a source of information on college policies and liaison with administrative offices, off‑campus organizations, and students.
  • Recommend and assist in implementing goals, course offerings, and scheduling for the Education Center.
  • Maintain awareness of college services for student and faculty referrals.
  • Coordinate classroom use, instructor needs, room changes, cancellations, and key distribution.
  • Operate office equipment (computers, software), schedule repairs, and troubleshoot technical issues.
  • Facilitate non‑standard examination processes for make‑up exams and accommodation requests.
  • Maintain office and instructional supplies and order as necessary.
  • Coordinate the process for student evaluation of faculty.
  • Post notices of instructor and staff absences.
  • Assist with special projects and other duties related to the business of the Education Center.
  • Demonstrate understanding and appreciation of diverse student and staff backgrounds.
  • Other Duties
    • Perform other related duties as assigned.
    • Train and coordinate student workers.
    • Participate in committees as required.
    Education and Experience

    Any combination of education, experience, and training indicating possession of the required knowledge, skills, and abilities. For example, two years of college‑level coursework in office administration and three years of administrative experience in an educational setting.

    Knowledge
    • Basic operations and services of an off‑site education center.
    • General functions, policies, rules, and regulations of a complex organization such as a community college.
    • Current office methods, filing systems, receptionist and telephone techniques.
    • Word processing, spreadsheet, and database programs relevant to the position.
    Abilities
    • Understand and independently carry out oral and written instructions.
    • Prioritize and multitask efficiently.
    • Produce and edit communications, reports, and spreadsheets.
    • Learn and apply new software programs.
    • Communicate effectively in oral and written form.
    • Maintain confidentiality of records.
    • Establish and maintain effective work relationships.
    • Demonstrate sensitivity to diverse backgrounds.
    Physical Effort / Work Environment

    Light to moderate physical effort; occasional standing and walking; handling lightweight parcels up to 15 pounds. Indoor work environment with occasional travel between the Education Center and Monterey campus.

    Desirable Qualifications
    • Bilingual proficiency in English and Spanish.
    • Experience in customer service and administrative support within an educational environment.
    • Proficiency with Google Workspace, Microsoft Office Suite, Zoom, Adobe Acrobat, and other standard office technologies.
    • Experience supporting daily operations of a campus or office, coordinating facilities, resources, and logistics.
    • Demonstrated project management, organizational, and time‑management skills.
    • Experience supervising, training, scheduling, or supporting student employees or volunteers.
    • Ability to establish collaborative relationships with students, faculty, staff, and community partners.
    • Commitment to providing exceptional customer service and fostering an inclusive environment.
    Work Schedule

    40 hours per week, 12 months per year. Monday – Friday, 8:00 AM – 5:00 PM with management reserve to change schedules as needed.

    Salary and Benefits

    Salary range: $4,738 (Step A) – $5,228 (Step C). Benefits include a comprehensive benefits package and eligibility for up to $1,000 candidate travel reimbursement when living 50 miles or more from the College.
