Lobby Reception and Attendance Administrative Assistant

The Lobby Reception and Attendance Administrative Assistant serves as the primary front-office contact for students, families, staff, and visitors at Ted Taylor Ag Vocational Center (TTVC). The position provides bilingual English-Spanish reception, attendance record support, visitor management, school communications, and general administrative assistance while maintaining a welcoming, professional, safe, and confidential environment. The position reports to the John Muir Charter School (JMCS) Regional Deputy Director and Regional Director.

Requirements / Qualifications

Associate degree or an equivalent combination of education and relevant experience preferred, high school diploma or equivalent required. Bilingual proficiency in English and Spanish is required, including the ability to communicate clearly with students and families and prepare or review routine written communications. Prior school office, attendance, reception, customer service, or administrative experience preferred. Proficiency with Google Workspace, Microsoft Office, Power School, School Messenger, and standard office technology, or ability to learn required systems quickly.

Strong organization, accuracy, judgment, written and verbal communication, and ability to manage interruptions and competing priorities. Ability to work independently and collaboratively while maintaining confidentiality and professional boundaries.

ESSENTIAL JOB FUNCTIONS:

Front Desk, Visitor, and Customer Service Greet students, families, staff, partners, and visitors in English and Spanish; answer calls and emails; provide information or route inquiries to appropriate staff. Manage visitor check-in, badges, and logs; reinforce campus safety procedures and promptly report concerns. Maintain an organized, professional reception area and provide calm, respectful, culturally responsive service during high-traffic or sensitive situations.

Receive, sort, and distribute mail and communicate visitor arrivals, student movement, emergencies, and other time-sensitive information to designated staff.

Attendance and Student Movement Ensure late students sign in through the designated system, proceed to class, and that early dismissals are documented and communicated to instructional staff. Serve as the primary attendance clerk by reviewing daily attendance, responding to attendance calls, and accurately recording verified absences, late arrivals, and early dismissals in Power School. Monitor student movement in the lobby and assigned common areas, reinforce timely class attendance and school expectations, and assist with supervision as assigned.

Maintain accurate, confidential attendance records and notify administration of recurring concerns or discrepancies.

School Communications Draft, schedule, and send bilingual School Messenger attendance alerts, announcements, and emergency notifications; maintain accurate contact lists and accessible family communications. Support routine translation or review of family-facing notices and front-office information in English and Spanish.

Administrative and Records Support Sort, distribute, and organize mail into staff mailboxes daily. Support communication to designated staff regarding student movement, early dismissals, emergencies, or visitor arrivals. Uphold and communicate school dress code expectations to students and visitors.
