About the Role Vista Robles Dental Group is seeking a motivated and detail-oriented Appointment Setter to join our team. In this vital role, you will be the first point of contact for our patients, helping to coordinate their care by scheduling appointments efficiently and professionally. Your efforts will directly contribute to providing a seamless and positive experience for our patients while supporting the smooth operation of our dental practice.

Key Objectives Efficiently manage incoming and outgoing appointment scheduling calls.

Ensure accurate and timely booking of patient appointments to optimize provider schedules.

Maintain clear communication with patients and internal teams to support a high standard of care.

Responsibilities Answer incoming calls and respond to appointment requests promptly and courteously.

Schedule, reschedule, and confirm patient appointments using our practice management system.

Provide patients with relevant information regarding appointment times, preparation, and office policies.

Follow up with patients to confirm upcoming appointments and reduce no-shows.

Maintain accurate patient records and update contact information as needed.

Collaborate closely with dental staff to communicate scheduling changes and patient needs.

Handle patient inquiries and escalate issues to appropriate team members when necessary.

Contribute to a welcoming and professional environment for all patients.

Requirements High school diploma or equivalent; additional education in healthcare administration is a plus.

Proven experience in appointment setting, customer service, or a related role, preferably in healthcare or dental settings.

Excellent verbal communication and interpersonal skills.

Strong organizational skills with the ability to multitask and manage time effectively.

Familiarity with practice management software and Microsoft Office Suite.

Ability to handle sensitive patient information with confidentiality and professionalism.

Positive attitude, patience, and a customer-focused approach.
