Office Administrator/ Coordinator
Reception & Outreach Coordinator - Student Disability & Accessibility Center
Under the general supervision of the Director of the Student Disability and Accessibility Center (SDAC) and day-to-day guidance from the Operations Analyst, the Reception and Outreach Coordinator performs a full range of moderate to complex office and clerical assignments in support of SDAC's daily operations and supports advising and administrative staff as needed.
Essential duties and responsibilities include, but are not limited to, the following:
1. Reception Desk Services:
- Provides receptionist services for the SDAC Reception Desk, including responding promptly and professionally to all inquiries (in-person, email, & phone) from students, faculty, staff, and community members about SDAC services.
- Schedules appointments for students and faculty with advisor.
- Resolves questions related to SDAC services; refers complex or unresolved issues to the Operations Analyst or the Support of the Day position.
- Opens and closes the Reception Suite and Calming Corner
- Responsible for processing communications through the main SDAC delegated email account and telephone line.
- Trains and provides day-to-day work direction to reception student assistants.
2. AIM Application Module & Appointment Management
- Conducts application and appointment outreach to students who have not followed up after initial contact with SDAC.
- Reviews the student's application and academic status to determine assignment to the appropriate advisor based on the student's needs.
- Responsible for reviewing appointment requests received through AIM and verifying advisor availability before approving.
- Maintains the AIM application module, in coordination with SDAC Advisors, by monitoring each student application status to ensure they are being addressed and processed accurately.
- Processes verification documentation submitted by students.
3. Outreach Coordination:
- Responsible for conducting bulk email outreach to students on varying topics based on the time of year. Coordinates with the Director, admin staff, and advising staff to send additional bulk emails as needed.
- Assists SDAC staff in creating and posting content for social media outreach.
- Support SDAC programming with bulk outreach emails and ongoing communication to event participants.
- Responsible for maintaining an Outreach and Programming calendar and supporting the SDAC Director in scheduling staff to attend events.
- Supports SDAC outreach during campus events, at SDAC & HWS events, and other opportunities.
4. Administrative Support & Compliance:
- Provides administrative support to the Director, Advising Team, and Operations Analyst.
- Maintains confidentiality of each student; upholds CSU, CSUMB & SDAC protocols for processing confidential information.
- Upholds professional standards, policies, CSU mandates, executive orders, and SDAC procedures to serve all CSUMB students.
Other functions:
Knowledge, skills and abilities:
Thorough knowledge of applicable university infrastructure, policies, and procedures;
English grammar, spelling, and punctuation; office systems and budget policies and procedures.
Skills:
Experience to be fully functional in all technical aspects of work assignments. Working knowledge of budget policies and procedures.
Ability to use a broad range of technology, systems and packages; independently handle multiple work unit priorities and projects; apply independently a wide variety of policies and procedures where specific guidelines may not exist; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; draft and compose correspondence and standard reports; handle effectively a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Minimum qualifications:
