Administrative Specialist - Medical Oncology
Pacific Cancer Care (Monterey, CA)

SCHEDULE:
Full-Time | Monday-Friday | 8-Hour Shifts |
This is 100% on-site, not a remote position.
SALARY RANGE: $21-$30.24/hour, commensurate with experience

Administrative Specialist
Job Description:
Under the direction of the Front Office Supervisor and the Executive Director, the Admin. Specialist handles all outbound referrals, help with New patient referrals, uploading into ULF assists with New patient scheduling if needed, assists with the Onco Emr fax queue, and helping with the visit list updates. Will be point person for coverage. Other duties as assigned as needed.
Responsibilities and
Competencies:
* Process all outgoing referrals, in a timely manner, to include necessary records to the provider
* Prepares following day appointments on Visit List to include all demographics, insurance cards uploads collected and signed off
* Review Onco Emr Fax queue throughout the day, assisting with uploading new patient referrals as needed, scanning into patient charts and printing out necessary documents
* Assist with appointment reminders calls to include Lab appointments
* Assist Diag Scheduler in faxing mammogram orders.
* Provides coverage for front desk and phone operators as needed, (lunch breaks and/or unforeseen absences).
* Greet patients and visitors with professionalism, courtesy, and a patient‑centered approach, ensuring a positive experience.
* Check patients in for appointments, verify insurance information, and collect payments accurately and efficiently.
* Obtain medical records and request authorizations as needed to support patient care and billing processes.
* Schedule patient appointments, coordinate follow‑up visits, and conduct patient reminder calls as needed.
* Maintain accurate and up‑to‑date patient records within the electronic medical record (EMR) system.
* Answer incoming calls, respond to inquiries clearly and professionally, and route messages appropriately.
* Coordinate with clinical staff to optimize schedules, patient flow, and clinic operations.
* Demonstrate strong time‑management, organizational, and multitasking skills in a fast‑paced healthcare environment.
* Utilize Microsoft Office tools and clinic systems effectively; learn new healthcare software as required.
* Apply strong problem‑solving skills to troubleshoot scheduling or front desk issues, escalating concerns appropriately.
* Ensure compliance with HIPAA and patient confidentiality standards at all times.
* Perform additional administrative duties as assigned, including scanning, filing, and supporting other departments.
