Occupational Responsibilities Administrative
  • Prioritize work given by pastors, staff, committee chairpersons, and others to ensure timely completion of projects.
  • Maintain worship attendance records and coordinate with the Care Team to ensure visitor communication is recorded and pursued.
  • Maintain membership records and prepare membership reports for monthly/year‑end Baptist Association reports.
  • Maintain church records and personnel files, including personnel reviews, special recognition, training certifications, and absence requests.
  • Order and stock office supplies, coordinating with ministry leaders for planned needs or special event purchases.
  • Back‑up computer files and maintain office equipment software and updates as required. Contact customer‑service departments for any software or hardware issues requiring additional attention.
  • Take on advisory and training roles in ministries with administrative weaknesses, office assistants, or volunteer administrative support as needed.
  • Oversee creation and distribution of church bulletins.
  • Compile ministry updates, staff updates and financial contribution information for weekly emails and ministry newsletters.
  • Create employee and volunteer policies and procedures and update current policies and procedures as needed, ensuring adherence to the vision and mission of STC.
  • Coordinate employee and volunteer work and vacation schedules; input on master calendar; assist volunteers and staff in ensuring adequate staffing for all day‑to‑day functions and special events.
  • Develop and monitor volunteer registrations for events; communicate collected data to ministry leaders, staff team, and volunteer groups.
  • Initiate, run, and file all Ministry Safe background checks; communicate with Youth and Nursery leaders when volunteers are cleared. Notify volunteers when updates or training are incomplete.
  • Work closely with the church’s financial administrator/bookkeeper to ensure proper use of funds to meet financial obligations.
  • Answer phones, assist guests, and maintain an orderly work environment.
  • Provide administrative support to staff team and ministry leaders as requested to advance God’s kingdom together.
Facilities
  • Assist in scheduling meetings and events; track church equipment rentals.
  • Coordinate calendar for facility usage and enforce church policies for facility use.
  • Maintain an inventory of supplies and equipment.
  • Evaluate the church’s insurance needs and ensure that policies remain current.
Relational
  • The Church Admin is the first impression of the church; we desire the admin to be warm and loving to all contacts.
  • Engage with a diverse congregation, treating all guests with dignity and respect (James 2:1‑13).
  • Promote team unity; gossip will not be tolerated. Conflict is addressed using godly principles. Staff fellowships are encouraged; attendance is expected.
  • Attend weekly staff meetings, monthly finance meetings, and monthly leadership team meetings; attendance is required.
  • Prioritize family and rest; full‑time staff members are required to take one full 24‑hour off‑day with strong encouragement to refrain from church‑related tasks.
Additional Specifications
  • Preferred start date:
    May 1, 2026.
  • Minimum 3‑year commitment required.
  • Previous administrative experience required.
  • Salary to be determined; range given upon request.
  • Ability to create structure from scratch or improve existing structures required.
  • Current church membership or willingness to move membership with approval of leadership required.
  • The current administrator will transition in June and will be available for training and assistance.
