Role OverviewThe Administrative Manager will serve as the operational backbone of Levitate Logic & Consulting. This role is central to how the firm functions day-to-day — from managing communications and organizing client files to supporting project tracking, scheduling, and vendor coordination. The ideal candidate is highly organized, proactive, and comfortable operating independently in a professional services environment.
This is a part-time position. You will be expected to work 20 hours per week in our Montgomery office, with an additional 5 flexible hours that may be completed remotely or on a schedule that works for both parties.

- Maintain organized, up‑to‑date filing systems — both digital (Google Drive, Gmail, Sharefile) and physical
- Manage day‑to‑day office operations and ensure the workspace is functional and professional
- Coordinate with software vendors, service providers, and other business contacts
- Support implementation and upkeep of internal systems including Click Up, Google Workspace, and document templates
- Track vendor contracts, software renewals, and subscription notices
- Manage scheduling, calendar coordination, and meeting logistics for firm leadership
- Draft and proofread professional correspondence, memos, and internal communications
- Prepare materials for meetings, presentations, and client‑facing engagements
- Monitor and help manage inboxes in alignment with the firm's Gmail label and routing system
- Support client project logistics including file organization, document routing, and deadline tracking
- Assist with the preparation, formatting, and submission of grant documents and compliance reports
- Coordinate with clients and partners to gather information, signatures, and deliverables
- Maintain organized records for active client engagements in accordance with firm protocols
- Work closely with the firm's Finance Manager to ensure invoices and payroll are processed accurately and on time
- Serve as a point of coordination between firm leadership and the Finance Manager, flagging outstanding items and upcoming deadlines
