Essential Functions & Responsibilities:
- Serves as a first point of contact for clients, delivering exceptional service across all communication channels.
- Assists Wealth Advisors in preparing for and following up on client meetings.
- Maintains and updates CRM systems with meeting notes, client data, and next steps.
- Executes proactive client touchpoints for birthdays, anniversaries, and financial milestones.
- Manages administrative functions including document preparation, appointment scheduling, and department communication.
- Prepares and maintains compliance records, ensuring accurate documentation and adherence to internal/external standards (e.g., BSA, Red Flag).
- Tracks annuity, insurance, and investment case progress from submission through approval.
- Assists in audit preparation and maintains departmental checklists for compliance.
- Supports client onboarding, including data input into planning tools and internal systems.
- Coordinates advisor calendars, manages scheduling conflicts, and monitors daily workflows.
- Compiles and distributes internal reports, campaign metrics, dashboards, and client summaries.
- Identifies and logs cross-sell/referral opportunities for high-net-worth members and commercial clients.
- Participates in team meetings, processes reviews, and cross-functional initiatives.
- Provides onboarding support for new team members and administrative staff.
- Offers process improvement suggestions based on daily operations and client feedback.
- Maintains a "member first" mindset and consistently upholds company values.
