Advanced Systems Design is seeking a TITLE
for our client located in Montgomery, AL.
This position is onsite in Montgomery, AL, and requires in-person availability starting day 1.
Job Overview:The IT Asset Management Specialist is responsible for the end-to-end lifecycle management of technology assets across the agency. This role ensures all IT equipment is properly received, recorded, tagged, tracked, maintained, audited, and disposed of in accordance with state policies, federal guidelines, and internal controls. The position supports operational accountability, inventory accuracy, compliance, and financial stewardship of IT resources.
Key Responsibilities:Asset Receiving and Inventory Management
- Receive incoming IT equipment, verify shipment accuracy, and document all received assets.
- Assign and apply asset tags, ensuring proper identification and classification of all hardware.
- Maintain detailed inventory records within the agency's asset management system, including asset location, status, ownership, and lifecycle information.
- Track the movement of equipment through formal chain-of-possession and chain-of-custody procedures.
- Conduct periodic physical inventory audits and reconcile discrepancies through investigation and documentation.
- Prepare audit documentation, compliance records, and reports for internal and external audit activities.
- Ensure inventory records remain accurate, complete, and audit-ready at all times.
- Support all phases of the asset lifecycle, including Deployment, Transfers, Reassignments, Repairs, Returns, Surplus processing, Disposal
- Ensure surplus and disposal activities comply with state surplus regulations, environmental requirements, and data security standards.
- Maintain organized and secure storage areas for all IT assets.
- Collaborate with procurement, finance, security, and IT operations teams to ensure inventory accuracy and compliance with agency standards.
- Assist in the development, implementation, and improvement of asset management policies, procedures, and best practices.
- Respond to asset management inquiries and provide operational reporting and process improvement recommendations.
- Minimum of 3 to 5 years of experience in IT asset management, inventory control, logistics, procurement, or a related operational role.
- Strong attention to detail and ability to maintain accurate and complete records.
- Knowledge of IT hardware, including computers, peripherals, networking equipment, mobile devices, and related technologies.
- Experience with asset tagging, inventory management systems, and barcode/RFID technologies.
- Ability to investigate and reconcile inventory discrepancies.
- Understanding of chain-of-custody and chain-of-possession protocols.
- Ability to prepare and maintain audit-ready documentation.
- Strong organizational skills with the ability to maintain orderly storage and work environments.
- Analytical thinking and problem-solving abilities.
- Ability to safely lift and move IT equipment within reasonable limits.
- Excellent written and verbal communication skills.
- Ability to work independently and effectively collaborate across multiple teams.
- Proficiency with asset management software, spreadsheets, and reporting tools.
- Ability to safely lift, carry, and move IT equipment and related materials within reasonable limits.
- Ability to perform periodic physical inventory counts in office, storage, and warehouse environments.
- Experience working in a government or public-sector environment.
- Familiarity with state surplus property and disposal regulations.
- Experience with IT Asset Management (ITAM) frameworks such as: ITIL, ISO/IEC 19770, Other industry-recognized asset management standards
- Previous experience in procurement, inventory control, logistics, or related operational functions.
- High school diploma or equivalent.
- Associate or bachelor's degree in:
Information Technology, Business Administration, Logistics, Supply Chain Management, Related field
