Job Summary
The DOT Compliance Manager is responsible for creating, implementing, and maintaining a company-wide driver compliance and safety training program. This role ensures adherence to all federal, state, and local Department of Transportation (Use the "Apply for this Job" box below). Federal Motor Carrier Safety Administration (FMCSA) regulations governing the movement of goods, vehicles, and personnel. The manager will also handle regulatory compliance filings, maintain driver records, and work to improve overall safety and avoid DOT violations.
EssentialFunctions Regulatory Compliance:
- Develop, implement, and manage comprehensive compliance programs covering DOT regulations, FMCSA requirements, hours of service, driver qualification, vehicle maintenance, and hazardous materials handling.
- Monitor regulatory developments and changes in transportation laws to ensure company policies and procedures remain current and compliant.
- Conduct regular internal audits to verify compliance and identify areas for corrective action.
- Act as the primary point of contact during regulatory inspections, audits, and investigations.
- Prepare and submit required regulatory filings, reports, and documentation to appropriate agencies.
- Administer the driver qualification process, including conducting background checks, managing drug and alcohol testing programs, and coordinating annual motor vehicle record reviews.
- Maintain all federal, state, local, and FMCSA regulatory compliance filings for the company.
- Process and maintain all drivers' records in compliance with federal and state regulations.
- Develop and deliver compliance training programs for drivers, operations staff, and management.
- Establish onboarding processes and safety training sessions for all drivers.
- Analyze accident data to identify trends and create targeted training programs.
- Oversee vehicle maintenance compliance, including setting up preventive maintenance schedules, documenting repairs and inspections, and confirming vehicles meet DOT safety standards.
- Manage electronic logging device (ELD) systems, troubleshoot issues, and ensure data accuracy.
- Assist in developing, recommending, and executing changes needed with fleet telematics platforms.
- Maintain and update a Safety Program that includes benchmarks for compliance with company programs and DOT requirements.
- Prepare and maintain records of all drug and alcohol tests.
- Prepare and maintain detailed spreadsheets referencing permits or certificates.
- Maintain and update files based on record retention requirements, track vehicle mileage, and file IFTA returns.
- Assist in the preparation of monthly, quarterly, or annual Fuel and Mileage Tax Filings and payment of returns.

This includes regulatory compliance, risk assessment & mitigation, workplace safety culture, incident response & prevention, sustainability & environmental stewardship and training & engagement.
