Medical Secretary & Administrative Support/Secrétaire médical; e & soutien administratif
Location: Montreal
The Medical Secretary & Administrative Support works closely with the clinical site team and is responsible for the full scope of medical secretarial activities supporting the daily operations of the dermatology clinic. In addition, the role contributes to administrative and organizational tasks that support clinic efficiency and overall business operations. This position ensures a high-quality patient experience, accurate documentation, operational continuity, and compliance with applicable regulatory and quality requirements.
More specifically, the Medical Secretary & Administrative Support must:
- Manage assigned reception duties (answering phones, managing messages, managing appointments including bookings, confirmations, cancelations, and rescheduling through the computerized scheduling system)
- Prepare the clinic before the arrival of the first patients
- Welcome patients and visitors and ensure a professional, patient-centered experience
- Open, update, and file patient records
- Accompany patients to the clinical rooms for their visit and clean the rooms between each patient.
- Ensure proper identification, labeling, and follow-up of patients’ biological samples and required tests
- Manage the documents to be given to the patient at the end of the consultation and manage the payments.
- Manage mail and packages
- Provide administrative support to the Clinical Research Unit and other departments, including but not limited to document and study material management, office logistics, vendor and invoice coordination, data entry and reporting, reception coverage, and adherence to quality, confidentiality, and regulatory requirements.
- Support clinic and administrative operations during peak periods
- Perform other related duties according to operational needs, experience, and training

This position is based at our modern and bright clinic in Montreal (3530, Boulevard St-Laurent, H2X 2V1). The workplace is easily accessible by metro (Sherbrooke Station or St-Laurent Station), by bus (several lines) or by car (underground parking available for a daily fee).
