Job Summary
We are seeking a dynamic and organized Office Manager/IT Assistant to oversee daily office operations while providing essential technical support. This role is vital in maintaining a smooth, efficient workplace environment and ensuring that all administrative and IT functions run seamlessly. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to manage office workflows, coordinate vendor relationships, and support IT needs.

Responsibilities

  • Manage day-to-day office operations, including front desk duties, filing, and clerical tasks to ensure a productive work environment
  • Oversee schedule management for staff meetings, appointments, and events, ensuring calendars are up-to-date and well-organized
  • Coordinate vendor relationships for office supplies, equipment maintenance, and IT services to ensure timely procurement and service delivery
  • Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with payroll processing using Quick Books or similar software
  • Assist with bookkeeping tasks including invoicing, expense tracking, and budget monitoring to maintain financial accuracy
  • Provide basic IT support by troubleshooting hardware/software issues, managing multi-line phone systems, and maintaining computer networks
  • Organize company events and team-building activities to foster a positive workplace culture

Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Supervising experience with the ability to lead teams effectively
  • Proficiency in Quick Books for payroll, invoicing, and bookkeeping tasks
  • Excellent communication skills with professional phone etiquette and customer service orientation
  • Strong multitasking abilities with experience managing schedules and calendar appointments
  • Knowledge of vendor management processes and contract negotiations
  • Familiarity with human resources functions including onboarding, training & development, and employee records management
  • Experience in medical office management or similar environments is a plus
  • Competence in filing systems, front desk operations, and handling multi-line phone systems

Language Requirements

In accordance with Quebec’s Charter of the French Language, knowledge of English is required for this position due to the nature of the duties.

The role requires communication in English in the following contexts:

  • Supporting and corresponding with clients and partners located outside Québec
  • Assisting with English-language software platforms, technical documentation, and vendor support services
  • Preparing and reviewing sales materials and contracts in English
