We are recruiting for a Bilingual Legal Administrative Assistant to join our team in the Montréal office. The successful candidate must have 1‑3 years of relevant experience, preferably in the legal field, and will be responsible for supporting team members in various practice groups, managing requests, and basic document support and production.

Job Responsibilities General
  • Collaborate with team members to triage and manage requests, responding swiftly and meeting deadlines.
  • Manage workflow fluctuations with minimal supervision, overseeing the intake process and prioritizing tasks for timely completion.
  • Answer process‑related questions and troubleshoot timekeeper issues.
  • Liaise with and direct requests to other firm support resources as needed.
  • Maintain accurate updates in the workflow system and provide reliable backup support in the Resource Centre.
  • Continuously enhance job knowledge and technical skills through active team participation and mentorship.
  • Perform quality control of own work, seek clarification, and review others’ work.
Operational and Clerical Support
  • Process timekeeper expenses through expense reports.
  • Submit and process vendor/third‑party cheques and invoices.
  • Provide administrative support: printing, scanning, faxing, photocopying, archiving, document renaming, data entry, and uploading/downloading from the firm’s Document Management System.
  • Work with Records Management to create, maintain, and store client files in accordance with firm policies.
Documents
  • Draft, edit, format, and revise correspondence, memoranda, large transaction documents, reports, forms, and labels.
  • Proofread documents for formatting, spelling, grammar, and clarity.
  • Prepare basic court documents.
Lawyer and Client Support
  • Assist with travel bookings and itineraries for clients and attorneys.
  • Update contact names and addresses in the client database.
  • Support practice groups with legal documents per group requirements.
  • Maintain knowledge of legal terminology, court rules, procedures, and medical terminology where applicable.
Candidate Profile
  • Post‑secondary diploma in Legal Assistant, Executive Assistant or Administrative Assistant program.
  • 1‑3 years relevant experience, preferably in a legal or professional services environment.
  • Intermediate proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Strong word‑processing, spelling, proofreading, and editing skills.
  • Professional demeanor with colleagues and clients.
  • High level of service delivery and strong organizational and time‑management skills.
  • Active listening, clear communication, and timely follow‑up on requests.
