Appeal Tribunal Support Specialist
Position SummarySupport the Appeal Tribunal by performing a range of administrative and customer‑service tasks related to appeals of unemployment insurance decisions.
Key Responsibilities- Proof Appeal Tribunal Decisions & distribute to appropriate parties. Provide administrative support to Hearing Officers.
- Enter decision results in the mainframe.
- Scan decisions into document storage system.
- Professionally manage incoming registration calls for telephone hearings.
- Communicate professionally with unemployment insurance claimants, employers, attorneys, and third‑party representatives concerning the administrative appeal process.
- Maintain accurate and current records for electronic case files.
- Consistently seek to offer professional customer‑focused services and interactions to public and private employers.
- Participate in the required safety and security protocols of the Appeal Tribunal.
- Proof Appeal Tribunal decisions, distribute for corrections and final signatures, and prepare decisions for mailing.
- Maintain confidentiality of records as required by Employment Security Act.
- Communicate and provide administrative support to Hearing Officers, management, and coworkers in a timely fashion; prepare clear, concise oral or written reports as needed.
- Utilize excellent customer‑service skills to ensure optimal results for the many activities required of the Appeal Tribunal staff keeping the office appearance and atmosphere conducive to friendly customer service.
- Participate in team meetings, staff‑required training, and cross training to provide professional, timely, and additional assistance with the Appeal Tribunal duty requirements.
- Assist with the Appeal Tribunal’s incoming calls regarding the appeals process.
- Assist in filing case files and preparing files for the Department of Libraries.
- Utilize office machinery in accordance with safety / security protocols.
- Knowledge of spelling, punctuation, and business English; modern office methods and procedures; employment practices and problems; laws, rules, policies and regulations of public employment service & unemployment compensation; basic psychology and human relations.
- Skill and Competency – excellent verbal and written communication skills.
- Ability to maintain effective working relationships with others; work independently; deal effectively and courteously with people; multi‑task; exercise good judgment in evaluating tribunal decisions; make decisions; anticipate, identify and resolve problems; handle confidential work; present ideas and facts effectively and accurately; interpret applicable state and federal laws and regulations; follow oral or written instructions.
- Work is performed in an office setting with climate‑controlled conditions and moderate noise. Employee performs regular periods of sitting or standing and daily use of computer and phone. Occasional use of office machinery is required in accordance with safety and security protocols.
- Five years of experience in employment services, career or vocational guidance and counseling, personnel, recruitment, training, customer services or social services related work; or an equivalent combination of education and experience substituting thirty semester hours from an accredited college or university for 1 year of the required work experience up to 3 years of experience substitution.
- Computer skills – proficiency with Microsoft Office (Word, Outlook, Excel, Access, Teams) and internet; ability to learn other software as needed.
- Lifting, carrying and moving objects up to 25 pounds.
