This position is responsible for booking all events and concerts, setting up room blocks, and handling all phone reservations. It also includes responding to communications from guests, travel agents, and referral networks via telephone, voicemail, or a central reservation system.
Additional duties may include preparing the list of expected arrivals for the front office, assisting in preregistration activities when appropriate, and processing advance reservation deposits.
Responsibilities- Processes reservations by telephone or voicemail.
- Processes reservations from the sales office, other hotel departments, and travel agents.
- Knows the available room types, locations, and layouts.
- Knows the selling status, rates, and benefits of all package plans.
- Familiar with the credit policy and codes for each reservation.
- Communicates reservation information to the front desk.
- Processes cancellations and modifications and promptly relays this information to the front desk.
- Understands the hotel's policy on guaranteed reservations and no‑shows.
- Processes advance deposits on reservations.
- Tracks future room availability based on reservations.
- Assists in preregistration activities when appropriate.
- Handles daily correspondence and responds to inquiries and makes reservations as needed.
- Ensures files are kept up‑to‑date.
- Collects information about areas of interest to target clients in specific seasons.
- Assesses all front desk procedures and assists with reception duties when required.
- Adheres to health, safety, fire and bomb threat procedures.
- Willing to undertake reasonable requests from management in other areas of the hotel.
- Opens and closes hotel availability on the website as required.
- Covers for staff as needed due to employee shortages.
- Remains alert to any unusual activity by team members, vendors, or guests and takes appropriate action.
- Maintains excellent working relationships with other staff, vendors, and contractors.
- Performs all other related and compatible duties as assigned.
- Monitors all relevant departmental activities to ensure compliance with applicable laws, rules, regulations, and internal controls.
- Performs duties in accordance with company policy, the objectives of the Otoe Missouria Tribe, and applicable laws.
- Maintains the departmental shift log(s) and documents any unusual occurrences, incidents, equipment failures, or safety issues.
- At least 21 years of age.
- High School Diploma (or equivalent) preferred.
- Three years of hotel experience preferred; equivalent combination of customer service and communications experience required.
- Experience as a guest relations supervisor, front office manager, or hotel liaison preferred.
- Knowledge, skills, and experience in hiring, training, scheduling, and supervising staff.
- Strong communication, decision‑making, problem‑solving, complaint resolution, and resource allocation skills.
- Ability to read, write, and speak English fluently; knowledge of professional publications, memos, emails, and logs.
- Ability to perform intermediate mathematical computations up to probability and statistics.
- Confidentiality of company information and willingness to protect company values.
- Ability to perform assigned tasks under supervision and follow written and verbal instructions.
- Ability to establish and maintain positive relationships with executive, managerial, and supervisory staff.
- Proficiency in MS Office (basic to intermediate level).
- Willingness and ability to work nights, weekends, and holidays.
- Must pass a drug test and provide valid work authorization documents for I‑9 compliance.
Physical demands: ability to stand, walk, sit, and use hands; occasional reaching, climbing, stooping, lifting at least 20 lbs., and pushing/pulling up to 50 lbs.
Work environment: moderate noise levels, exposure to fumes, limited heat/cold, occasional confrontation with irate guests. Reasonable accommodations may be made.
