Responsibilities- Provide concierge-level customer service while interacting with patients, referring offices, and team members in person, over the phone, or via electronic communication.
- Work with DPC clinicians and patients to schedule high-priority appointments.
- Maintain the EHR database: confirm appointments, print documents for visits, ensure patients complete them, and scan/upload documents into the EHR after visits.
- Handle and triage all DPC phone calls; monitor voicemail throughout the day to ensure timely responses.
- Provide both check-in/out and MA services in the DPC model, including handling walk-ins, phone calls, and scheduling in Epic.
- Complete all recertifications, referrals, and prior authorizations in the office.
- Oversee scanning of documents, CDL physicals, and management of medication samples; process record requests and new patient contracts.
- Manage patient care activities such as rooming, vitals, injections (flu vaccine, PPD, B12), and related testing (EKG, hearing, vision).
- Process and print incoming faxes, route to providers for signatures or information, and ensure proper uploading into the chart.
- Order supplies and stock the office; ensure timely and accurate chart documentation.
- Demonstrate excellent time management, leadership, and organizational skills; maintain effective listening and communication; escalate issues as needed.
- Use EHR and hospital outpatient registration/scheduling with knowledge of medical terminology; work independently and collaboratively to solve problems and establish relationships.
- Take ownership of processes to run and manage the DPC model/program smoothly and efficiently; resolve conflicts as needed.
- Obtain and verify patient personal, demographic, and financial information and enter it into the practice management system.
- Deliver an exceptional experience to patients, customers, and clinicians in a timely manner.
- Oversee all scanning of documents, CDL physicals, and management of medication samples; process all new patient contracts and questions.
- Experience
Required:
3-5 years in a related role. - Education Requirements:
Medical Assistant Program;
High School Diploma. - License/Certification: MA Certification Required.
- Special Requirements:
Strong communication skills; ability to communicate with clinicians, patients, visitors, and coworkers; experience with EHR and hospital outpatient registration/scheduling.
