About the Role

The Administrative Assistant performs a variety of high-level administrative functions to assist the Police department in managing the day-to-day affairs of a large and diverse department. This role is characterized by significant public contact and the responsibility of acting as a primary liaison between the Police Department, other Town departments, the public, and the press.

Unlike specialized administrative roles, this position requires interpreting, developing, and carrying out policies across a broad range of programs and activities. The successful candidate will exercise independent authority and discretionary judgment in interpreting program objectives and may provide supervision to other administrative staff. Work is reviewed primarily for conformance with overall program goals.

Responsibilities
  • Draft reports and materials that require extensive research and complex interpretation.
  • Receive, screen, and review correspondence, assigning items to appropriate staff for reply with specific instructions.
  • Write formal letters and detailed reports for the supervisor's final review.
  • Serve as a liaison to expedite the flow of information and interpret policies, rules, and regulations for the organization, the public, and the press.
  • Control the department agenda and coordinate arrangements for meetings, conferences, and workshops.
  • Process invoices and reconcile financial records for the unit.
  • Attend meetings as a participant or as a representative of management.
  • Establish and maintain administrative procedures for the unit.
  • Provide supervision and guidance to other administrative staff as required.
  • Perform other related duties as requested.
Qualifications
  • An Associate’s Degree in office technology or business from an accredited community college and five to seven years of directly related experience.
  • OR a High School Diploma or GED and seven to nine years of directly related experience.
  • OR an equivalent combination of education and experience.
