A fast-growing technology company is looking for a highly organised Trade Show Logistics Manager to take ownership of the operational infrastructure behind its growing trade show programme.
This is not a traditional events marketing role. It is an ideal opportunity for someone who thrives on logistics, systems, data and precision. You will manage everything from inventory, purchasing and shipping to event reporting, vendor coordination and process improvement.
You will play a central role in ensuring that the right materials arrive at the right place, at the right time, while building scalable systems that make the entire operation more efficient.
What You’ll Be Responsible For:Supply Chain, Shipping and Inventory
- Coordinate the dispatch and delivery of goods through third-party carriers.
- Plan and monitor inbound and outbound shipments.
- Improve routing and dispatch processes to reduce transportation costs.
- Compare quotes, negotiate terms and secure competitive transportation rates.
- Coordinate closely with vendors, suppliers, carriers and venue warehouse teams.
- Maintain accurate inventory records and manage regular inventory audits.
- Purchase inventory and supplies, ensuring all orders arrive on time and within budget.
- Investigate and resolve shipping errors, delays and discrepancies.
- Communicate proactively with venue warehouse teams to prevent delays or misunderstandings.
- Work closely with internal teams on order management and day-to-day troubleshooting.
- Maintain accurate logistics documentation and reporting.
- Review existing procedures and introduce more efficient, scalable systems.
- Ensure logistics activity complies with relevant transportation regulations.
- Support the organisation and operational delivery of at least 30 trade shows each year.
- Partner with the Events and Conference Manager to manage budgets and expense reporting.
- Produce quarterly reports measuring units and revenue generated through trade shows.
- Analyse event performance data and use the findings to inform future planning.
- Present clear findings and strategic recommendations to senior leadership.
- Establish consistent event naming conventions to enable accurate year-on-year reporting.
- Maintain event data across Snowflake and Tableau, including:
- Estimated and actual costs
- Lead targets
- Demonstration booking targets
- Unit and revenue goals
- Enter and maintain accurate raw data within Snowflake.
- Code and process company travel expenses booked through Egencia.
- Ensure the correct third-party vendor documentation is held for non-credit-card payments.
- Provide accounting with clear descriptions for all conference-related expenses.
- Support communication with vendors, exhibitors and event partners.
- Maintain a strong working knowledge of the systems used across the department, including iCapture, Egencia, Rippling, Snowflake, Astrato, Tableau, Ship Station and Hub Spot.
- Exceptionally organised, methodical and detail-oriented.
- Skilled at managing multiple deadlines and moving parts simultaneously.
- Highly proficient in Excel and Google Sheets.
- Confident working with data, producing reports and identifying useful insights.
- Experienced in logistics, supply chain, inventory management, event operations or a closely related area.
