Office & Admin Specialist Senior
Under limited supervision, the incumbent is the Administrative Assistant to the Dean of Business, Analytics & Communication and initiates, performs or directs the tasks necessary for the efficient operation of the Dean's Office. Administrative, managerial and budgetary support and coordination of office functions pertinent to the administration of the College of Business, Analytics & Communication are performed.
Responsibilities include:
- Room/Events Scheduling Coordinator of the Center for Business. Schedule rooms as requested within the Center for Business for meetings, lectures, workshops or special events (all other than regularly scheduled academic classes). Information is entered into a computerized software program, which can be read University-wide. The events are scheduled with no duplication of facilities and all equipment and food service needs are met for the various functions.
- Administrative Assistant to the Dean of Business, Analytics & Communication; maintain a well-organized and functionally effective office. Coordinate the process to enable the Dean to make decisions regarding retention, promotion and tenure of College faculty. Supervise and train student clerical workers so assigned work is completed efficiently, and a productive office is maintained. The Dean's Office will be staffed with well-trained student clerical workers so work is completed in an accurate and timely manner.
As a representative for the Dean, act as liaison between the Dean and department chairs, College faculty and staff, and students so that communication is maintained and deadlines are met. Communication between the College office and department personnel assures the effective performance of the College. The fair and equitable handlings of department faculty and staff concerns are a priority within the College.
Student issues and advising needs are responded to quickly and efficiently. - Prepare office expenditure authorizations and contracts with complete budget control over student help, postage, phones, printing, supplies. Adequate funds are maintained in all accounts to ensure that all obligations are paid on time and credit standing is maintained.
- Coordinate preparations for banquets, award dinners, special function, projects and events throughout the year. Special projects and events are coordinated so the events are successful. Assist in evaluating the status of meeting AACSB accreditation standards and the final preparation of all reports to ensure the deadlines are met. Business unit will meet the criteria imposed by the accreditation standard within specified deadlines.
- Be sensitive in dealings with other personnel, visitors, and students, so that all are treated in a respectful, professional, and humane manner.
Minimum Qualifications:
- Requires a unique combination of high-level administrative, technical, supervisory and human relations skills. Must work with minimal supervision and make decisions independently. Must possess the ability and willingness to analyze and solve problems. Ability to establish good working relationships outside the university. Requires absolute confidentiality and an unusually high level of mature judgement in regard to faculty, students, evaluations, grievances, reprimands, and other confidential instances.
Discretion and tact must be used in sensitive personnel matters. Must possess versatility and adaptability. Exceptionally well organized and up-to-date on the complexities of processes and procedures and the ability to articulate policy or guidelines. A good working knowledge of accounting procedures, as well as a good working knowledge of the Microsoft Office System;
Word, Access, Excel, Outlook and Teams. Communication skills are paramount in interaction with administration, faculty, staff, students, as well as personnel from other universities and the general public.
Preferred Qualifications:
- A good knowledge of the IFO Agreement is helpful in this position. Attendance and participation in workshops, seminars, and classes, which are job-related are helpful for the position and are encouraged for professional growth. Higher Education experience is preferred.
