Office Administrator/ Coordinator
Job Summary
The Office Administrator will be responsible for the front desk and general office duties, assisting with invoice coordination, business expense processing, and supporting the administration and management staff in various states while cultivating and maintaining positive business relationships.
Responsibilities- Prepare and process all expense reports, per diems, reimbursements, and personal mileage reports.
- Assist with the flow of the OnBase invoice system.
- Maintain organization of various files and project documents.
- Reconcile vendor statements and expense statements.
- Track contracts, purchase orders, and subcontracts with the administration team.
- Provide front desk support: greet visitors, answer and direct incoming calls, and take messages.
- Perform general office duties including making copies, scanning documents, and mailing.
- Order and organize office supplies.
- Open, sort, distribute incoming mail, and prepare outgoing mail with the correct postage.
- Work in a constant state of alertness and in a safe manner.
- Perform other duties as assigned.
This position does not have supervisory responsibilities.
Knowledge, Skills & Abilities- Basic administrative skills.
- Excellent analytical, technical, project management, organizational, and time‑management skills.
- Strong oral and written communication skills and ability to multi‑task.
- Ability to work effectively in a team environment.
- Proficiency with standard business computers and Microsoft Office Suite; ability to learn new applications.
- Understanding of the Company’s Standard Operating Procedures (SOPs).
- Basic math skills: addition, subtraction, division, multiplication, finding percentages.
- Integrity and ethical conduct in dealings with customers, vendors, and co‑workers.
- High level of accuracy and attention to detail.
- Resourcefulness in assisting management and co‑workers.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Professional appearance.
- Safe and efficient operation of a motor vehicle (as required).
- Experience working in a Native Corporation multi‑business environment.
- High School Diploma or equivalent required.
- Previous office administration experience preferred.
- Administration, construction, and marine experience preferred.
- Valid state driver’s license and qualification under the Company’s Driving Policy.
- Ability to pass drug, driving, and background screenings.
Brice Inc. operates a fast‑paced, multi‑tasking office environment requiring efficient and effective performance. Work may be performed outside the office at indoor and outdoor job sites. Employees must adapt to schedule and design changes and may be required to work overtime for immediate field support or bid processing.
