The RoleThis role does not meet the eligibility criteria for a Skilled Worker visa or a Health and Care Worker visa. NHS Greater Glasgow and Clyde (NHSGGC) is unable to provide candidates or employees with a Certificate of Sponsorship (CoS).
The post forms part of the business support team and provides clerical/administrative support to the primary/community care service team as required working flexibly within agreed procedures and protocols. This will include reception duties, data input, record management and general typing. The post holder will have frequent contact with patients, members of the public and staff. This could also include contact with records officers across NHSGGC and other board areas and with schools.
At all times they are expected to act in a courteous and professional manner. The post holder will also support the generic functions and duties administered within the wider Business Team section as required.
Applicants will demonstrate good communication and organisational skills and ability to work without direct supervision. Daily workload will be varied and interesting with a range of administrative tasks as outlined in the job description and delegated by Senior Business Support Assistant.
Duration, Location, and Working Pattern- This is an exciting opportunity for appropriately qualified and enthusiastic applicants to join the Business Support Team and provide administrative and reception support within North West Locality
- The successful candidate will be based within Maryhill Health & Care Centre but will be required to work across the locality bases
- The shift pattern for this post is Monday to Friday 08:30 to 17:00
- Please note the salary is Pro Rata for part time hours
- Under the general direction of the management of the Business Support Team, the post holder will be expected to undertake most or all of the following responsibilities:
- Deal with telephone and face to face enquiries received from service clients, members of the public and other staff members, responding to these or redirecting to another team member as required
- Receive visitors (including patients and members of the public) to the premises in a polite and helpful way in accordance with local procedures
- Provide a Reception/clerical function to one or more office bases as required, respecting confidentiality at all times
- Where applicable, communicate with local schools on a regular basis to obtain information on movement of pupils from schools on behalf of School Nurses
- Book rooms using electronic or paper formats and ensure that non-clinical rooms are set up appropriately
- Book interpreters as required for clinical appointments and meetings
- Arrange and amend appointments for patients both face to face and by telephone
- Receive and arrange the distribution of mail

- Must show competence in the basic use of computer packages evidenced by experience or formal qualification e.g. ECDL
- Must show knowledge of working in an office environment and of operation of office equipment and systems. This may be through formal training or work experience
- Requires good command of verbal and written English
- Requires knowledge of organisation and department gained through prior experience within the organisation, induction or short period of orientation
- Existing training and education will be supported by a period of orientation and induction to be completed within a period of 4 weeks
- Knowledge of Microsoft Packages is essential and experience of working with Emis and Trakcare systems are desirable though training will be available
