Office Administrator/ Coordinator
The HSE Coordinator will support the HSE Department and work directly with the HSE Corporate Director and other Group/Region safety leaders to ensure a smooth running operation.
Key Responsibilities- Arrange events or conferences and make travel arrangements as needed.
- Assist in the ordering, receiving, stocking and distribution of office supplies.
- Assist with other related clerical duties such as photocopying, faxing and filing.
- Coordinate the pick-up and delivery of courier mail and express mail services (Fed Ex, UPS, etc.).
- Create and manage Power BI Dashboards, Excel spreadsheets, Word documents, PowerPoint presentations, and graphs.
- Maintain calendar of conference room appointments and training room events.
- Maintain calendars and appointments for the Corporate Safety Director and Regional Safety Directors.
- Manage the Resource Management Staffing Tool.
- Process invoices and review budget material as assigned.
- Provide necessary information for required OSHA and MSHA reporting.
- Schedule and coordinate various group and departmental Executive Safety, 1:1, and other meetings.
- Support the creation of HS&E training materials and assist with distribution.
- Transcribe dictation, write letters and memos, and respond to correspondence.
- Update and distribute various directories and lists monthly.
Job Requirements
- Bachelor's degree or equivalent work experience preferred.
- Excellent interpersonal and customer service skills with the ability to multitask.
- Excellent oral and written communication skills.
- Minimum of 5 years of work experience in a construction or office environment.
- Time management and organization skills.
- Must be bilingual (Spanish and English).
- Working proficiency in Microsoft Office, Power BI, Excel, PowerPoint, and E1.
- May stoop, kneel, or bend occasionally.
- Must be able to comply with all safety standards and procedures.
- Required to use hands to grasp, lift, handle, carry, or feel objects frequently.
- Will interact with people and technology frequently during a shift or work day.
- Will lift, push, or pull objects up to 50 lbs occasionally.
- Will sit, stand, or walk short distances for the entire duration of a shift or work day.
- Will use telephone, computer system, e‑mail, and other electronic devices frequently to communicate with internal and external customers or vendors.
