Soni Resources is partnering with a client near Morris Plains, NJ, in the search for a Project Coordinator – Finance
. This position serves as a critical link between Project Managers and Project Accountants, supporting accurate, efficient project execution from start to finish including accuracy within their systems.
Project Setup & Closeout
- Partner with Project Managers and Project Accountants to ensure accurate, compliant project setup and closeout in Deltek Vantagepoint, including contract structure, phases, tasks, fees, and budgets.
- Support budget development and validation to align project scope, cost controls, and profitability targets.
- Own standardized project initiation and closeout reviews to confirm contractual, financial, and documentation requirements are complete and audit-ready.
- Maintain accurate project data to support Finance, PMO, and Operations.
- Maintain current project and phase status throughout the lifecycle, providing real-time visibility into performance.
- Support workplan management by updating hours, budgets, and task structures to identify variances and resource needs early.
- Prepare and distribute standardized project status and performance reports to enable consistent oversight and informed decision-making.
- Support monthly billing readiness by ensuring required documentation, approvals, and contract terms are met for project and ASR invoicing.
- Track consultant invoices, manage approvals, and follow up on outstanding items to prevent billing delays.
- Coordinate with internal teams to keep billing cycles on schedule and minimize revenue leakage.
- Perform ongoing and post-billing project reviews to ensure financial accuracy and contractual compliance.
- Partner with Finance and PMO to identify risks, discrepancies, or process gaps and support timely resolution.
- Ensure project documentation is organized, complete, and audit-ready.
- Assist with weekly timesheet coordination, approvals, corrections, and time analysis to support accurate labor reporting, ASR preparation, and billing alignment.
- Maintain organized project files, support project communications, and act as a liaison across project teams, Finance, Operations, and consultants.
- Provide ad hoc support as needed to meet business and project needs.
- Strong technical skills with intermediate proficiency in Excel and Word.
- Highly organized, detail-oriented, and able to manage competing priorities independently.
- Strong written and verbal communication skills with a professional, deadline-driven approach.
- Experience in an architectural or engineering firm preferred.
- Bachelor’s degree in business or accounting.
- Minimum of five years of professional work experience.
- Experience in a small to mid-sized firm preferred.
- Prior experience with Deltek Vision or Deltek Vantagepoint strongly preferred.
Compensation: $55,000 - $65,000
Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications.
