Qualifications
  • Bachelor's Degree
  • Minimum of five years of increasingly responsible administrative support experience, preferably in a school district, governmental, or executive office setting
  • Exceptional organizational, communication, and interpersonal skills
  • Demonstrated ability to manage multiple priorities and high-level projects in a fast‑paced environment
  • Advanced proficiency with Google Workspace, personnel management systems, district software platforms, and communication tools
  • Strong writing, editing, and proofreading skills
  • Demonstrated discretion, sound judgment, and ability to maintain confidentiality regarding personnel, student, legal, and Board matters
  • Ability to work independently, anticipate needs, solve problems proactively, and exercise professional judgment
  • Ability to interact professionally and effectively with Board members, administrators, staff, parents, students, and community stakeholders
  • Required criminal history background check and proof of U.S. citizenship or legal resident alien status
  • Must reside in New Jersey (or have a plan to relocate within one year if hired after September 1, 2011)
Primary Responsibilities
  • Serve as the primary executive administrative assistant to the Superintendent and support the effective daily operation of the Superintendent's Office.
  • Coordinate, prioritize, and manage the Superintendent's calendar, appointments, meetings, travel, and related logistics to maximize organizational efficiency and responsiveness.
  • Manage and oversee workflow within the Superintendent's Office, ensuring timely completion of assignments, communications, reports, and follow‑up items.
  • Prepare, proofread, edit, and distribute correspondence, presentations, reports, agendas, memoranda, and other confidential or public‑facing documents on behalf of the Superintendent.
  • Exercise independent judgment in screening phone calls, visitors, inquiries, requests, and correspondence, and route matters appropriately.
  • Maintain confidential and official records, files, and documents in accordance with district procedures, legal requirements, and records retention practices.
  • Serve as a liaison between the Superintendent and Board members, administrators, staff, parents, community organizations, and external agencies.
  • Coordinate and monitor district wide administrative calendars, events, deadlines, and communication timelines.
  • Assist in the preparation, coordination, and dissemination of district communications and community correspondence in collaboration with the Communications Office.
  • Support the Superintendent in coordinating executive‑level meetings, presentations, reports, and district administrative initiatives.
  • Compile, organize, and prepare data, reports, and documentation required by law, administrative code, Board policy, and district procedures.
  • Coordinate special projects, district initiatives, community events, and recognition programs under the direction of the Superintendent.
  • Maintain and update district wide master calendars, including school closings, evening events, and key district activities.
  • Coordinate communication and meeting logistics with parent organizations, community groups, and district stakeholder committees, including maintaining records of discussions and action items.
  • Assist with the coordination of district ceremonies, recognition programs, graduation‑related logistics, and other Superintendent's Office events.
  • Serve as a central point of coordination for information and communications received by the Superintendent's Office and ensure timely routing, follow‑up, and resolution.
  • Process purchase orders and maintain financial records associated with the Superintendent's Office and assigned initiatives.
  • Coordinate and monitor the collection of administrative reports, updates, and submissions required from schools and departments.
  • Support the Superintendent in maintaining productive relationships with educational foundations, community partners, and key district stakeholders.
  • Demonstrate professionalism, discretion, responsiveness, and exceptional interpersonal skills in all interactions.
  • Perform other duties and responsibilities as assigned by the Superintendent.
  • Terms of Employment

    Twelve‑month position. Salary, benefits, and terms of employment established by the Board of Education.

    Evaluation

    Performance shall be evaluated annually by the Superintendent in accordance with Board policy and administrative procedures.

    Compensation and Benefits

    Salary: $90,000–$110,000 (currently ranging).

    Benefits:
    Full‑time employees are eligible for medical, prescription, and dental benefits. Sick and personal day allotments are included.
