Office Administrator/ Coordinator
Key Responsibilities
- Assist in day‑to‑day office operations to ensure a welcoming, organized, and well‑functioning workplace.
- Maintain office inventory, including kitchen supplies, snacks, beverages, office supplies, and other operational necessities.
- Support onboarding logistics, including preparing welcome swag packages, ordering technology accessories, and ensuring new hires have a positive first‑day experience.
- Use discretion and keep confidential company financial information and employee personal information.
- Coordinate client meeting logistics, arrange catering, conference room setup, meeting materials, and hospitality details.
- Coordinate and ship client gifts, appreciation packages, and other client delight initiatives.
- Manage reservations and logistics for client dinners, meetings, and special events.
- Provide planning support for company events, holiday celebrations, off‑sites, team gatherings, and employee engagement initiatives.
- Assist with venue research, vendor coordination, catering, registration, transportation, and event execution.
- Help track timelines, budgets, checklists, and event deliverables.
- Serve as a friendly first resource for routine employee questions, directing more complex inquiries to the appropriate People team member.
- Partner with the People Operations team on employee engagement programs, orientation activities, and talent development events.
- Assist with special projects and cross‑functional initiatives.
- Use AI tools and technology to improve efficiency and organization.
- 3+ years of experience in office administration, coordination, executive support, or a similar role, ideally in a fast‑paced environment.
- Strong organizational skills and attention to detail, with the ability to juggle multiple tasks and priorities.
- Strong communication and interpersonal skills, with a collaborative, service‑oriented approach.
- Sound judgment and a proactive, problem‑solving mindset, with comfort asking questions and escalating when appropriate.
- Proficient with a laptop and experience using Microsoft Office Suite, with the ability to quickly learn new technology.
- Committed to a hands‑on, on‑site approach, with the physical ability to lift up to 20 pounds and adapt to extended periods of standing and walking as needed.
- Highly proactive with a strong sense of ownership and accountability.
- Exceptionally organized with outstanding attention to detail.
- Tenacious and will persevere until you’ve exceeded expectations.
- Strong project management and multitasking skills.
- Collaborative team player who is not afraid to roll up their sleeves and jump in wherever support is needed.
