Job Purpose

The overall purpose of this position is to coordinate compensation and professional development processes for adjunct faculty, ensuring compliance with institutional policies and applicable regulations. The incumbent performs a variety of specialized administrative, clerical, and data management functions, including Faculty Load and Compensation (FLAC) processing, Affordable Care Act (ACA) and retirement reporting, contract exception review, dual-service contract and invoice compilation, and maintaining accurate records in the Banner system.

Serves as a liaison among adjunct faculty, academic deans, and the Office of IDEAS to facilitate effective communication and operational efficiency. Responsibilities include managing letters of intent, proofreading and verifying contractual documentation, and coordinating events such as the biannual Adjunct Faculty Convocation and other IDEAS-sponsored professional development activities. The position provides direct support to adjunct faculty, assisting with issue resolution, navigating institutional resources, and promoting the consistent and equitable application of institutional practices.

Job Functions
  • Processes Faculty Load and Compensation (FLAC) for adjunct faculty each semester by generating contracts, preparing payroll compensation, and editing contract exceptions in coordination with division aides. Accurately enters data into Banner to ensure timely payment according to payroll schedules. Processes additional compensation as needed for professional development, TN eCampus instruction, dual enrollment, and grant‑funded stipends. Collaborates with multiple college departments to ensure accurate processing of adjunct letters of intent, faculty contracts, and payroll.
  • Manages dual service and dual enrollment instruction by maintaining active communication with state institutions and county boards of education. Initiates dual service contracts in coordination with Institutional Effectiveness and Compliance (IEC), prepares related purchase requisitions, and processes invoices for payment.
  • Oversees adjunct faculty office operations to maintain an organized and efficient work environment. Responds to telephone calls, emails, and mail inquiries; manages copying, scanning, and filing of essential documents. Supervises federal work‑study and/or scholarship students, verifies timesheets, and submits time reports by Financial Aid deadlines. Provides assistance and support to adjunct faculty, full‑time faculty, and staff as needed.
  • Coordinates adjunct faculty meetings and events, including the Adjunct Faculty Convocation Dinner. Reserves facilities, prepares invitation lists, and collaborates with IET, Plant Operations, and academic divisions to ensure event success. Works with IDEAS staff to complete required employment forms. Prepares meeting agendas, confirms speakers, arranges meals, and maintains records of adjunct awards, including length‑of‑service and Distinguished Adjunct Faculty Member recognition.
  • Prepares and processes employment‑related verifications and legal documentation, including loan verification requests for adjunct faculty. Responds to information requests from the Federal Bureau of Investigation and state agencies. Generates wage and earnings reports for the Tennessee Department of Labor related to unemployment compensation claims.
  • Monitors and manages payroll budgets for seven accounts to ensure sufficient funds for compensation. Prepares and submits budget transfers as necessary and completes payroll projections to support budget requests and revisions.
  • Manages, submits purchase requisitions, reports, and files required drug screens for nursing clinical adjunct faculty as requested by the Health Programs division each semester.
  • May perform other duties as required.
