Administrative Specialist I, Pitkin Forest Nursery
This position supports reforestation and restoration efforts at the Franklin H. Pitkin Forest Nursery. Key duties include processing seedling orders, preparing invoices, handling payments, maintaining the nursery’s website and online sales portal, managing seedling inventory, ordering supplies, and coordinating shipments and pickups. Outreach responsibilities involve answering inquiries from customers, landowners, extension agents, government agencies, and the public, providing nursery tours, and attending conferences.
Position OverviewAssist with administrative tasks such as preparing correspondence, maintaining records and calendars, monitoring office inventory, ordering supplies, and completing various assignments. The position may be the first point of contact for the department, ensuring accurate, efficient, and confidential information flow.
Responsibilities- Manage records and documents
- Perform general administrative support tasks such as proofreading, receiving and distributing mail, and may handle cash
- Greet visitors, callers, and email inquiries, determine nature and purpose, and direct them to specific destinations
- Participate in teams to accomplish shared goals
- Use computer software and applications for word processing, email, and internet searches
- High School Diploma or equivalent
- Must be able to travel occasionally
- Must be at least 18 years old at time of hire
- Ability to lift, carry or otherwise move 60 pounds
- Considerable experience working in an office setting
- Some experience with web development and maintenance
- Some experience supervising employees
- Some experience managing storefronts of online sales platforms, such as Marketplace
- Knowledge of nursery management and reforestation
- Interpersonal and communication skills, including email, technical writing, and phone etiquette
- Familiarity with accounting and financial management principles
- Ability to work with groups of people
- Ability to pay attention to detail and maintain accurate records
