Secretary II – High School Counseling Office Receptionist

Moses Lake High School – Moses Lake, Washington. Office hours Monday – Friday 6:45 am–3:15 pm. Paid per P.S.E. Contract.

Responsibilities
  • Greet, welcome, and assist students, parents, and staff in a busy office setting.
  • Answer telephones, receive and respond to inquiries, and direct calls to the appropriate department or administrator.
  • Schedule appointments for students, parents, and staff with counselors and adjust schedules as needed.
  • Process electronic transcript requests.
  • Maintain a clean, organized workstation and professional appearance.
  • Assist with registration of new students and update student demographic information.
  • Oversee filing and management of student files, distributing and mailing report cards and progress reports, and running address labels for mailings.
  • Assist with maintaining the MLHS Counseling Dept. website and provide secretarial support for administrators as needed.
  • Provide communication to staff, parents, and students and keep record‑keeping of varied programs such as academic interventions.
  • Assist with reports such as attendance, behavior, and academic reports.
  • Serve as the Red Rover absence management backup.
  • Ensure confidentiality of sensitive information and meet high accuracy and attendance standards.
  • Perform other duties as assigned.
Qualifications
  • High School Diploma or G.E.D. equivalent.
  • Two (2) years of secretarial/clerical experience, or equivalent combination of education and experience.
  • Strong written and verbal communication skills.
  • Ability to understand and execute written and verbal instructions, policies, and procedures.
  • Willingness to work a flexible schedule.
  • Proficiency with computer applications and office responsibilities.
  • Experience with SKYWARD, Homeroom, Calendar, and Google Suite preferred.
  • Bilingual/biliterate preference.
  • Attention to detail, high accuracy, and excellent attendance.
Testing Requirements
  • Typing (upper Moderately Effective to Highly Effective). Waived for current district employees with five (5) or more years of experience in the Moses Lake School District at the discretion of the principal/director.
  • Math, grammar, basic Excel, proofreading, writing sample (optional), 10‑key, and accounting tests (optional).
  • First aid card may be required for specific positions.
