Secretary II - High School Counseling Office Receptionist
Moses Lake High School
8 hours per day/200 work days [12 days before school & 8 days after school]
Monday – Friday 6:45-3:15pm
Salary Range:
Per P.S.E. Contract
Performs a wide variety of secretarial, clerical, and bookkeeping duties using independent judgment within generally defined methods, practices, and procedures.
Required Qualifications:
- High School Diploma or G.E.D. equivalent.
- Two (2) years of previous secretarial/clerical experience, which include the use of computer applications and office responsibilities: or any combination of education and experience which provides the applicant with the knowledge, skills, and abilities required to perform the job.
- Must have the ability to understand and execute verbal and written instructions, policies, and procedures.
- Must have the ability to communicate effectively both orally and in writing.
- Must be willing to work with a flexible schedule.
- Experience using SKYWARD, the student management system, preferred.
- Experience using Homeroom, Calendar and Google Suite preferred.
- Bilingual/biliterate preferred.
Knowledge
Required:
- General office/secretarial practices and procedures.
- Common practices and procedures of processing and disseminating information and supporting documentation.
Functions:
- Greet, welcome, and assist students, parents, and staff in a busy office setting.
- Answer telephone, receive and respond to inquiries and concerns by directing the calls to correct department or administrator.
- Schedule appointments for students, parents, and staff to see the counselors and adjust schedules as needed.
- Process electronic transcript requests.
- Must have the ability to relate in a positive way with supervisory staff, classroom teachers, and students using tact, courtesy, kindness, and professionalism - often in the midst of a very busy office setting.
- Work cooperatively with the administrator(s) and staff to maintain a safe school and caring learning environment.
- Be professionally dressed and maintain a clean organized workstation.
- Assist with the registration of new students.
- Update student demographics information and address information as requested by staff and /or parents.
- Oversee the filing and management of student cum files including updating and transferring files if needed.
- Assist with the distribution and mailing of student report cards and progress reports.
- Run address labels for various mailings.
- Assist with maintaining the MLHS Counseling Dept. website.
- Assist in providing secretarial support for administrators as needed.
- Provide communication to staff, parent, students, and maintain record keeping of varied programs such as academic interventions, etc.
- Assist in providing reports of varying natures as needed to staff and administrators. Examples might include attendance, behavior, and academic reports.
- Serve as the Red Rover absence management back up
- Ability to work with a high degree of accuracy and attention to detail to meet deadlines.
- Interprets as needed if an individual possesses multiple language skills.
- Must have high expectations and standards of job performance and excellent attendance.
- Ability to maintain the confidentiality of sensitive information.
- Perform other duties as assigned.
Testing Requirements:
- First aid card may be required for specific positions
- Ability to successfully complete the following assessments:
Typing (upper Moderately Effective to Highly Effective range), math, grammar, basic excel, proofreading, writing sample (optional), 10-key test (optional), accounting (optional) tests. - Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal/director.
