Position Overview

The Teaching & Learning secretary provides essential administrative support within the district. Responsibilities include managing communications, coordinating events, maintaining records, and performing bookkeeping tasks. This role serves as a central point of contact for staff, students, parents, and external partners, ensuring smooth workflow and professional service.

Qualifications
  • High school diploma or equivalent; additional relevant education preferred.
  • Successful experience with positive office communication.
  • Documented history of working with all staff members in a positive, cooperative and professional manner.
  • Knowledge and skills of office practices, procedures, and equipment.
  • Knowledge and skills of general bookkeeping practices and procedures.
  • Proficiency in Google Suite, Word, Excel, Skyward, Citrix, and related applications.
  • Ability to develop and maintain office procedures and record‑keeping systems.
  • Strong organizational and time‑management skills, able to work independently.
  • Typing speed and accuracy required.
  • Financial data calculation and balancing skills.
  • Understanding and execution of verbal and written instructions, policies and procedures.
  • Ability to maintain confidentiality of sensitive information.
  • Good attendance and punctuality.
  • School secretarial experience preferred.
  • Bilingual preferred.
Essential Job Functions
  • Organize and coordinate office operations, including personnel, budgeting and facilities.
  • Assist in developing office procedures and policies and maintaining record‑keeping systems.
  • Support Teaching & Learning initiatives by coordinating logistics for professional development events.
  • Monitor timelines and compliance for state and federal instructional program requirements.
  • Track staff participation in required training and certification programs.
  • Compile, format, and distribute Teaching & Learning communications such as newsletters and bulletins.
  • Coordinate and communicate regarding curriculum adoptions and instructional material distribution.
  • Maintain documentation related to academic programs, assessments and instructional resources.
  • Assist with data collection for student achievement, program evaluation and grants.
  • Act as liaison between schools and the Teaching & Learning department.
  • Format, type, edit, and proofread correspondence, memos, reports and meeting minutes.
  • Maintain and update computer databases and spreadsheets.
  • Serve as the first point of contact for the department.
  • Assist in budget tasks: process purchase orders, verify funds and obtain signatures.
  • Prepare and submit monthly grant claims and reporting.
  • Update board reports concerning contracts.
  • Establish and maintain a filing system of detailed records.
  • Perform additional tasks as assigned.
  • Schedule appointments and maintain calendars for assigned staff.
  • Coordinate reception duties and provide assistance to the public.
  • Provide coverage for the district front desk and board meetings.
  • Maintain excellent attendance and punctuality.
  • Interpret as needed for multiple language skills.
  • May be asked to work beyond the required workday due to emergencies or projects.
Skills Required
  • Positive interpersonal skills with staff, students, families and the public.
  • Expertise in operating a standard office.
  • Advanced proficiency with Google applications, Skyward, Citrix, Homeroom and other specified tools.
  • Strong planning, organization and coordination abilities.
  • Typing and data entry accuracy.
  • Financial record‑keeping and calculation precision.
  • Ability to work independently with high accuracy and attention to detail.
  • Understanding and execution of verbal and written instructions.
