The ideal candidate will have 2+ years of experience in administrative or office support roles, with strong organizational, communication, and multitasking skills. This role will primarily involve providing clerical and administrative support across multiple departments, serving as a key point of contact for internal and external communications, and maintaining efficient office operations.
Duties & Responsibilities:
Front Office & Communication:
Serve as the primary point of contact by greeting visitors, answering and directing phone calls, and providing accurate information to callers in a professional and friendly manner. Confidentiality:
Maintain strict confidentiality of sensitive organizational and personnel information. Mail & Communications Handling:
Receive, sort, and distribute incoming mail and communications in a timely manner. Office Operations:
Operate standard office equipment including phones, computers, printers, scanners, and copiers; ensure smooth day-to-day office functions. Data Entry & Systems Management:
Enter, update, verify, store, and retrieve information using computerized systems while maintaining a high level of accuracy. Records & Filing Management:
Maintain organized paper and electronic filing systems, records, and databases; ensure data is accurate and easily retrievable. Document Preparation:
Prepare, edit, proofread, and distribute correspondence, reports, forms, and other documents; attend meetings and record meeting minutes for distribution. Scheduling & Coordination:
Manage calendars, schedule appointments, meetings, conferences, and special events, ensuring all logistics are handled efficiently. Project Support:
Assist with departmental projects and provide administrative support to multiple teams, as needed.
