ScheduleThis is a full time, hybrid position, 40 hours per week. Schedule is typically Monday through Friday 8am - 5pm.
Compensation & BenefitsSalary Range: $50,357 - $68,515 depending on experience

General Description:
Proactively manages varied obligations on behalf of the Executive Director within assigned scope of responsibility. Provides varied and complex administrative support requiring extensive knowledge of the agency, independent judgment, research, high degree of accuracy, and discretion in dealing with confidential information. Serves as a liaison between the Executive Director and the Board of Directors.
- Works closely with the Executive Director and monitors incoming requests or actions so key priorities are met first.
- Maintains methods and tools to effectively coordinate and support Executive Director and Board of Director meetings and appointments, travel logistics and reimbursement, conference coordination and tactical organization of meetings, special events, membership, and calendaring.
- Coordinates and supports the Management Team, and ad-hoc meetings as assigned.
- Drafts, prepares, and proofs correspondence, minutes, presentations, newsletters, brochures, and reports, and assists in the development and revision of policies and procedures.
- Performs detailed research, as assigned, collects data and prepares reports, provides information to callers, monitors and coordinates FOIA and Second Opinion requests, and otherwise relieves the Executive Director of minor administrative details.
- Serves as a liaison between the Executive Director and staff, Board members, guests, and consumers.
- Prepares recommendations for major purchases as assigned.
- May answer questions, interpret policy, or perform other duties as assigned by the Executive Director.
- Supports culturally competent recovery based practices, person-centered planning, and a trauma informed culture of safety to aid consumers in the recovery process as applicable to the work performed.
- General
Education:
An Associates degree required with a major in Office Management or similar degree. - Job-Related
Experience:
Sufficient experience to perform the position at a satisfactory level. Five Years' Experience Preferred. - Licenses/Certification:
Valid driver's license while operating vehicle on agency business.
- Knowledge:
Considerable knowledge of secretarial, clinical and administrative practices and procedures. Knowledge of computer applications, time management, and telephone use. Knowledge of parliamentary procedures such as Robert's Rules of Order and Open Meetings Act preferred. - Skills:
Ability to type 50 wpm. Strong skills in Microsoft Office Suite. Operation of calculator and other standard office equipment. - Abilities:
Ability to represent the Executive Director and agency to the public with grace, poise, a professional demeanor and a service orientation. Ability to take minutes concisely and accurately, prepare draft documents, arrange and manage schedules for the Executive Director, organize and maintain files. Ability to maintain positive interpersonal relationships, project a positive image, communicate effectively both in writing and orally in both individual and group settings, and interpret agency policies and procedures.
Ability to effectively present information and respond to questions from management, supervisors, consumers, customers, board members and the general public. Ability to work with sensitive information and handle sensitive situations in a professional and confidential manner. Ability to exercise initiative, multi-task, and sort and prioritize incoming information. - Physical Demands:
Work is sedentary and involves typical office behaviors such as reaching, handling and fingering. Near acuity and accommodation necessary for typed letters and figures. - Work Environment:
Work is performed in a typical office setting.
