Administrative Office Assistant III/PT
This position performs administrative functions in support of the School of Communication, Journalism, & Media functions (SCJM). This position manages budget reconciliation, payroll, personnel transactions, supplies and equipment purchasing, scholarships, faculty searches, and other duties as required.
Required Qualifications
- High school diploma or GED. Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Preferred Qualifications
- Experience working in a higher education setting. Knowledge of CMU budget and registration systems (SAP, Perceptive Concept/Image Now, etc.). Budget and bookkeeping experience. Purchasing experience.
Duties & Responsibilities
- Reconciles all university cost centers for the school each month. Processes all invoices and vouchers for all school accounts and entities. Coordinates the purchase process for all equipment and supplies for the school. Reconciles all credit cards assigned to members of the department. Monitors credit card purchases through PNC. Oversees the university mandated process for asset inventory. Coordinates/oversees the university payroll system for the school.
Coordinates the logistics and finances for faculty and staff searches, including but not limited to, posting advertisements, aiding with travel arrangements, scheduling meetings, processing reimbursements, etc. Processes all personnel transactions for the school as directed. Maintains scholarship accounts and disbursements and works with faculty and students to manage scholarship awards and requirements. Assists with the operation of the Presentation Skills Center.
Provides administrative support to the school Director and Coordinators as needed. Assists visitors to the office with various requests as needed. Hires, schedules, and supervises student employees. Assists with school event operations and support as needed. Assists with sorting and distributing mail for Moore Hall as needed. Assists students with the checkout of lab keys and equipment as needed.
