ADMINISTRATIVE OFFICE ASSISTANT III Position Number: S-3906

Position Summary:

This position provides administrative support to the Dean and Associate Dean in the College of the Arts and Media (CAM), which requires a high level of professionalism, attention to detail, and the ability to maintain strict confidentiality regarding sensitive issues. This position is responsible for complex and varied duties, requiring an ability to work both collaboratively and with a high degree of autonomy.

Required Qualifications:

High school diploma or GED. Four years of qualifying experience or a combination of education and experience that equates to four years.

Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence.

Preferred Qualifications:

Knowledge of specific software programs and/or mainframe/systems skills (i.e. Excel, SAP).

Duties & Responsibilities:

Provides administrative support for the dean and associate dean, which includes scheduling meetings, screening calls and visitors, preparing and distributing correspondence. Verifies scholarship, endowment and donor information for CAM using Raiser’s Edge and SAP. Works with OSFA and Advancement to keep scholarship and award information accurate in Scholarship Universe; interacts with other department offices relative to donor giving, scholarships and endowments.

Provides administrative support for alumni and donor events, prepares monthly donor reports for department chairs; mails thank you cards in coordination with the Alumni and Advancement department. Provides administrative support for CAM Alumni Advisory Board. Prepares the CAM Monthly Events email. Conducts the monthly budget reconciliation for the Dean’s Office. Posts credit card expenses and submits expense reports through the Spend Clarity system in compliance with university credit card policies.

Inputs and approves Dean’s Office staff and student payroll in Time Clock Plus. Serves as the coordinator for building key assignments. Provides assistance on projects as assigned by Dean and Manager of Business Operations. Orders office and computer lab supplies as needed. Performs other duties as assigned. Supervision Exercised:
