Position Summary:
Serves as assistant to the dean, relieving the dean of a wide variety of administrative details on an on-going basis, completing assignments using self‑initiative without detailed instructions. Provides oversight and leadership in the day‑to‑day management of the College of Arts and Media (CAM) budget, human resources, and faculty personal services. Serves as the lead administrator of the Dean’s Office functioning as a member of the senior CAM executive team.
Serves as a member of the dean’s Advisory Council. Routinely assumes responsibility for an ever evolving and increasing scope of special projects as directed by the dean and associate dean of CAM.
- Bachelor’s degree, preferably in accounting or a related field.
- Three years of professional experience in fiscal planning or a related field.
- Demonstrated experience with databases, spreadsheets, and word processing.
- Ability to understand and perform basic accounting functions, statistical analysis, and projections.
- Demonstrated strong problem‑solving skills.
- Demonstrated organizational skills and strong attention to detail.
- Demonstrated ability to maintain confidentiality and exercise independent judgment.

- Experience with SAP.

- Experience with RCM budget model.
- Serves as assistant to the dean and a member of CAM leadership team.
- Creates the annual college budget and provides updates to the dean on a monthly basis or as requested.
- Develops college budget reduction plans as required.
- Oversees all financial issues related to the college.
- Coordinates, develops, and provides budget recommendations and student credit hour (SCH) projections.
- Prepares and analyzes financial statements, provides reports to the dean and creates internal budgets.
- Provides oversight and reporting of all general, designated, grants, endowment, and gift accounts in CAM.
- Provides fiscal advice and data to the dean and department chairs/directors.
- Reviews and approves personnel transaction forms for all CAM faculty, staff, and graduate assistants.
- Coordinates staff position searches, and other personnel adjustments for staff.
- Assists in creating salary offers to potential faculty and staff members.
- Serves as principal liaison to Human Resources, Faculty Personnel Services, and Financial Planning and Budgets.
- Oversees external grants, and new faculty start‑up funds.
- Advices Academic Planning and Analysis (APA) on enrollments and in setting SCH projections.
- Prepares and updates enrollment reports using SAP, Data Warehouse, and APA information.
- Serves as a contact and resource for CAM departments for questions and advice on personnel, budgetary, SAP, and business matters.
- Oversees CAM payroll.
- Serves as the building coordinator for Moore Hall and acts as liaison with Facilities Management on regular maintenance in the building.
- Audits and monitors student exchange accounts, including determining tuition and housing transfers according to student exchange agreements and financial obligations for Faculty‑Led Study Abroad.
- Maintains all CAM personnel files and financial records according to University guidelines.
- Supervises, trains, and assigns workload to office professional staff and the coordinator of graphic design and social media.
- Performs other duties as assigned.
